Job Title: National Clinical Programme Administrator Reporting To: National Clinical Lead for Emergency Medicine (with a close working relationship with the Emergency Medicine Programme Manager). About the National Clinical Programme The National Clinical Programmes represents a strategic initiative between the Health Service Executive's (HSE) Clinical Design and Innovation and the Royal College of Surgeons in Ireland (RCSI). The programme aims to design and implement change initiatives to improve and standardise the quality of care and access for all patients in a cost-effective manner. The Programmes are structured with broad cross functional input with clinical leadership to ensure that the patient remains at the centre of any change recommendation. The National Clinical programmes share three core objectives: To improve the quality of patient care delivered to all HSE patients To improve access to appropriate services To Improve cost effectiveness The successful candidate will provide administrative support to the Emergency Medicine Programme (EMP). The Administrator will work with the Programme Manager, the Clinical Lead and the Nurse Lead to provide this support. Specifically, the duties of the post will include To co-ordinate, schedule and attend as necessary internal & external team meetings, minute meetings, prepare agendas/documentation. Develop and maintain communications lists. Setting up and maintaining folders/files. Support the EMP office on access to database platforms Booking rooms / hotel accommodation / travel itinerary as required. Co-ordinating courses /seminars that are run through the Programme. This will involve booking relevant rooms, organising delegates, set up of course and preparation of course materials. Liaising with hospitals to organise hospital visits for the Programme. General administration support to the programmes. This includes the preparation of materials, liaison with programme and hospital teams, preparing status reports and organising conference calls. Ensuring website information relating to the Programme and development is uploaded and reviewed regularly. Preparing and issuing newsletters /any other correspondence to internal / external stakeholders. Editing of final drafts and coordination of consultation process for Programme documents. Library and journal search and retrieval of information and articles. Processing purchase orders and invoicing. From time to time there may be other tasks that may require your input and will be assigned by the clinical programme lead and programme manager. There may also be a requirement to attend meetings or seminars outside of the normal working hours or normal workplace. Updating the Websites/Social Media/Press Releases etc Keeping up to date with filing all EMP items in the RCSI MS Teams Sharefile. Maximise the use technology in ensuring work is completed to a high standard. Person Specification (Essential) Experience in a similar administrative function. Strong organisational & administrative skills. Proactive and able to work on own initiative. Strong knowledge of MS Office computer systems (excel, word, power-point). Willingness to learn other IT systems. This is a multifaceted role requiring flexibility, multi-tasking, attention to detail with a high level of accuracy and methodical approach. Communications & Interpersonal Skills Demonstrate excellent communication and interpersonal skills including the ability to present (verbal & written) information in a clear and concise manner Demonstrate the ability to influence people and events and the ability to build and maintain relationships with a variety of stakeholders Person Specification (Desirable) Experience working in healthcare or a similar industry desirable. Demonstrate the ability to effectively plan and manage own workload and that of others in an effective and methodical manner within strict deadlines, ensuring deadlines are met. The ability to manage deadlines and effectively handle multiple tasks. Knowledge of project management.
