Objective:

To provide accurate financial management, business management, and statistical information for the Destination. The role will also support the Destination Director and Operations Manager with the effective operations of the Dundrum Town Centre.

Primary Purpose:

To advance and contribute to the development of the asset management strategy and business objectives. Play a central role in delivering high and efficient standards of onsite management and care, maintaining the Dundrum Town Centre's position as a best-in-class, desirable, safe and progressive environment for occupiers to trade and customers to shop, visit, live and work.

Key Responsibilities:

Service Charge Management:

Manage and report on the service charge, including budget setting and reconciliation. Support the Destination Director in the preparation of the service charge budget. Maintain budget expenditure and records, invoice/purchase order approval and tracking and reporting of expenditure. Develop and implement procedures to gain greater efficiency in all areas of the service charge. Prepare all supporting documentation for audits in accordance with audit deadlines and liaise with auditors throughout to successful completion.

Car Park Management:

Ensure effective management of car park financial performance and reporting in collaboration with the senior management team. Understand the P&L components of the car park budget and propose concepts/initiatives to enhance business efficiency. Deliver and report on car park net income targets as outlined in the business plan. Drive additional income generation via commercialisation activities in conjunction with the client's commercialisation team and optimise net operating car park income. Oversee the reconciliation of car park income reports and ensure cash collections are collected and reported in line with KPI's and service scope. Oversee management of car park information systems to support the production of timely and accurate accounts and statistical returns.

Financial Management:

Ownership, accountability, and responsibility for data and finance. Contribute to and take an active role as a member of the Management Team. Produce accurate financial reports to specific deadlines. Manage the year-end process and provide information to auditors within specified KPIs and service scope. Monthly expenditure reporting of budget and completion of FVRs. Ensure compliance with all company procedures, including financial and administrative duties.

Management:

Deputise during the absence of the Destination Director or Operations Manager. Report to the Client as required, prioritising their requests and ensuring a professional response at all times. Oversee the management of accounting, footfall, and car park information systems. Develop and maintain strong positive relationships with key business and community contacts. Support the Destination Director and Operations Manager in overseeing all accident and incident reporting, including insurance and statutory forms and procedures in conjunction with the Risk Manager. Assist in ensuring third-party contractor staff and tenants are aware of and compliant with Health & Safety procedures.

Communication:

Maintain positive relationships with both internal colleagues and external organisations. Accurately collate statistics, identify trends for business use, and provide informative reports for effective internal and external reporting. Ensure effective operational communication through meetings, handovers, and reporting. Attend daily operations meetings, weekly management and finance meetings, monthly contractor meetings, and other meetings as required.

Retail and Customer Focus:

Adopt the Company policy within the area of corporate responsibility to ensure integrated working through on-site teams and day-to-day operations. Provide the highest level of customer service to tenants, visitors, and customers, assisting others to maintain these standards throughout the shopping centre. Build and maintain excellent working relationships with retailers throughout the Centre. Respond promptly to short-term operational problems and assist in their resolution.

Support:

Assist in championing the asset and ensuring issues impacting the building are escalated and managed effectively. Keep the Destination Director and Operations Manager updated on potential issues and opportunities. Develop strong relationships with key contacts, other Destinations, Shopping Centres, and Senior Managers.

Management Structure:

Managing Agents:

JLL is responsible to the Landlord for the general administration, operations, and management of the Destination. Provide high-quality customer service and maintenance/management of common areas, services, and facilities. Ensure tenants fulfil their covenants and obligations as laid down in their individual leases and the Dundrum Town Centre's regulations. Administer service charge accounts at the Destination and oversee and manage on-site employees.

Teamwork:

The Destination Director, Management team, and Clients/Owners will collaborate in managing the Destination as an effective trading proposition and a profitable business aimed at maximising Client investment income.

Additional Responsibilities:

Any other duties deemed necessary by the company.

Essential Requirements:

3 years' experience of budget management. Proficient decision-maker. Ability to innovate and implement new systems and processes to enhance efficiency. Proven ability across the full finance package. Strategic planning ability. Effective communicator at all levels with the ability to influence. Good analytical skills. Team player. High IT literacy, including Excel. Organised and meticulous with a excellent attention to detail.

Desirable:

AAT or A level standard (UK). Third Level Qualification. Experience of presenting. Knowledge of GDPR.
