I am currently seeking an experienced Administrator based in Galway in to provide administrative support and coordination services to our clients Divisional Team. Our client is one of Ireland's leading building contractors. The Administrator will be the key point of contact for meeting coordination, team support and any ad hoc administrative tasks. The ideal candidate will be a professional administrator who works with integrity and discretion at all times.

Responsibilities:

  • Managing all correspondence in a proactive manner.
  • Data entry and working with Saviom
  • Preparing meetings, prepare collateral and motivate the working group members to achieve their tasks.
  • Undertaking any ad hoc administrative tasks as requested.
  • Maintaining a log of messages and actions for review on a periodic basis.
  • Taking ownership for diary management and coordination with the business and external stakeholders.
  • Arranging meeting rooms and room setups as required.
  • Collating the monthly board packs and circulates in a timely fashion to allow meeting participants to review the content in advance.
  • Coordinating the necessary approvals for expense claim forms, subsistence payments and other associated documentation or E-approvals in a timely and efficient manner.
  • Managing event logistics for the division and works with others in relation to companywide events.
  • Logging all credit card and personal receipts on the online expenses system and uploads the relevant information for payment.
  • Submitting mileage claims in line with diary records.

Requirements:

  • Excellent Interpersonal and Organisational skills.
  • Experience working on data bases (Saviom experience would be beneficial)
  • Strong experience of diary management.
  • The ability to utilise the full suite of Microsoft Office tools
  • Experience prioritising a range of activities or projects on behalf of an organisational leader.
  • Is familiar with social media platforms and how to use them effectively.
  • Significant experience of working within the Construction Industry.
  • ECDL, Pitman or equivalent qualification.
  • A Business Administration or related qualification.
  • Has a keen interest in the use of technology to improve efficiency.
