Nursing Admin Clerical Supervisor Grade IV (Permanent Contract, Full time Hours) The role will report to the Assistant Director of Nursing, Nursing ManPower. The Nursing Admin Clerical Supervisor (Grade IV) is an essential member of the nursing administrative team. Their role is to provide an efficient secretarial/administrative service to the Nursing Administration Department.They must communicate effectively with all departments within the hospital and with external parties with regard to relevant changes within the approx. 600 WTE nursing headcount. Responsibilities: Payroll & Salaries: Information to Payroll/Salaries is determined by payroll dates and deadlines. Details to be prepared and submitted include Bank & Locum Lists, Sick Leave Lists, and Monthly Salaries Book for the Salaries Team. New Starters - allocating staff numbers, allowance details, etc. Leavers include hours owed/to be deducted. Personal Leaves - Maternity Leave, Unpaid Maternity Leave, Parental Leave, etc. Date to reactivate on payroll for those returning from unpaid leave. Career break details. Increasing/reducing working hours changes. Commencing/ceasing location allowance and speciality allowances. Miscellaneous changes affecting payroll. Temporary promotion list. Unpaid leave lists. Nursing Monthly Premium Report. Processing of Maternity Leave, Parental Leave, LOA, reduction/increase in hours, Force Majeure Leave. Close supervision of bookings and administration.Book staff as requested where a patient requires 1:1 staffing (RN /HCA).Review requirement to continue booking with relevant ward manager daily. Agency staff bookings and monitoring. Agency invoices sign off. Administration of Nursing Incentive Scheme. Phone calls re sick leave, maternityleave, appointments for staff, salaries queries, bank shifts. Leavers Filing. Clerical support for 6 Assistant Directors Of Nursing (ADONs), including doing letters, appointments, reports etc. Leave cover for Nursing Admin Grade III role. Maintenance of WTE allocation file. Train to eRostering SuperUser Level. Any other duties that come up on a day to day basis relevant to clerical work. Eligibility Criteria: A candidate must on the latest date for receiving completed application for the role: Have formal Secretarial/Administration Training. Excellent computer skills with strong MS Excel skills essential. Excellent attention to detail. Strong experience of problem solving and decision making. Excellent communication and time management skills. Ability to work on one's own initiative. Supervisory/Management Qualification or undertaking to achieve same. Desirable Criteria: 3 years previous experience in a healthcare environment. Relevant hospital administration experience. Payroll experience would be an advantage.
