Clare Tourism Development DAC is a subsidiary company of Clare County Council that oversees the management, development, and promotion of a portfolio of signature visitor attractions and sites throughout Clare. Clare Tourism is developing these visitor attraction sites and is now seeking to hire an experienced professional with substantial skills in in Sales and Marketing, and Digital Marketing campaigns. Booking Administrator Job Description This Job Description details the day to day established activities of the Bookings Administrator for Clare Tourism West and North West Visitor Attraction Sites. Reporting To Assistant Reservations Manager and in their absence the Group Reservations and Revenue Manager. JOB OVERVIEW This position oversees, develops, and implements a range of tasks, including managing the bookings and administration of a very busy Bookings / Reservations Department. The mission of Clare Tourism Development includes the provision of a world class visitor experience. Priority areas for the Bookings Administrator are: Supporting the Reservations Department in the development of all Clare Tourism West and North West Visitor Attraction sites to the highest standards. Ensuring that the keyobjectives of the organisation are met by managing workloads that maximises the use of resources. Work closely with the Assistant Reservations Manager to ensure a safe and secure environment for visitors and employees and to advance our work in bookings, reservations and sustainability. Ensuring a world class visitor experience and an employer of choice through the implementation of key training and employee relations. Specific Duties and Responsibilities Create and monitor all bookings using the inhouse booking system. Maintain up-to-date records of a large volume of group bookings change, update and monitor existing bookings. Monitoring coach park arrivals on a daily basis. Processing and monitoring trade booking payments. Answer telephone, and email queries efficiently and professionally. Manage group numbers by accessing clients online systems where relevant. Co-ordinate tour operator series bookings, ad hoc groups, educational visits, and familiarisation trips including optional requirements. Report to management on booking projections and capacity management. Liaise regularly with Assistant Reservations Manager, Sales & Marketing Manager, Operations Managers, Customer Service Agents, Café Team, and as required with CSAs and coach park and other parties. Establish relationships with key tour operator customers. Support the Group Revenue and Reservations Manager, the Assistant Reservations Manager and the Sales & Marketing Manager in organising various projects. Provide general sales and marketing assistance to the Sales & Marketing Manager as required and as directed, by the Assistant Reservations Manager. Assist the sales and marketing team in developing and executing marketing campaigns to promote the Clare tourism Clare Tourism West and North West Visitor Attraction sites. Collaborate with the Sales and Marketing team to create promotional materials, including online and offline promotions. Participate in organising events to attract visitors. Actively contribute to brainstorming sessions for marketing strategies and initiatives. Update spreadsheets and databases and any administration duties as directed by the Assistant Reservations Manager. Provide excellent customer service to all customers internal and external to Clare Tourism West and North West. Use other in-house systems as required including Visitor Attraction Management System, and other systems as introduced. Co-ordinate and participate in conducting training sessions to all staff on all aspects of the booking system and Visitor Attraction Management System or any other system which is applicable to the role. Be completely flexibility in your role and participate in other duties which may include operational duties. You may on occasion be asked to work in other locations other than the Ennistymon office and may include working on site at the Visitor Centre. This role includes working on Saturdays and in accordance with a prepared roster. Co-ordinate guided tours and events as well as other saleable experiences booking, securing payment and liaising with Operations Manager for staffing. Maintain a record of complimentary passes and promo codes issued by the Assistant Reservations Manager or Management Team. Ensure compliance with all company procedures including cash handling and sign off procedures. Follow all Health and Safety regulation as per Health & Safety Statement. Assist with Health and Safety precautions for visitors as per Health & Safety Statement. Perform any other reasonable duties as directed by Management. Ensure compliance with all company procedures. Assist in the delivery of key objectives including excellent customer care, visitor enjoyment, and health and safety. Participate in outreach activities to support Clare County Council associated tourist attractions as required. Perform any other reasonable duties as directed by Management. Requirements / Essential Skills and Attributes Excellent communication. Proven ability to work under pressure as part of a team. Excellent customer service / interpersonal skills. Ability to work under pressure with a very demanding workload. Shown initiative and ability to work independently. Good IT skills especially in Excel, Outlook and Word, and good keyboard skills. Excellent telephone manner. High level of accuracy and attention to detail. Display a friendly and positive approach to colleagues and clients. Flexibility and a strong problem-solving approach to issues. Proven ability to work under pressure with a very demanding workload. Experience with large volumes of reservations, in the tourism sector or customer focus. Fluency in the English language. Flexibility and a strong problem-solving approach to issues. Experience in the tourism sector or in a customer facing role. Must hold a current driving licence. Desirable Experience Experience working in a customer facing role at the Cliffs of Moher or similar Tourist Attraction. Experience with large volumes of reservations in a tourism or customer focused environment. Familiarity with any or all of the following would be an advantage: Microsoft Office Suite, Visitor Attraction Management System admission system, First Aid, Training in customer service skills, Fluency in European and other languages would be an advantage. Additional Information The post will be operational on seven days a week basis according to a monthly roster published in advance, with extended hours at certain times according to seasonal and business requirements. Hours of operation will vary seasonally. The duties will primarily be performed onsite at the Cliffs of Moher Experience, the Cliffs of Moher offices, Ennistymon, Co. Clare, or any other place of business as designated by Management, during operating hours of the centre. Occasional work off site may be required.
