Jennings O'Donovan & Partners, part of RSK Group, is seeking an experienced and dedicated Quality & IMS Manager to oversee the effective implementation, maintenance, and continuous improvement of our Integrated Management System (IMS). This role ensures continued compliance with company integrated management systems (e.g., ISO 9001, ISO 14001, ISO 45001), manages all aspects of external certification, acts as the lead document controller and reviewer, and coordinates compliance monitoring through a regular internal audit program. The successful candidate will uphold our commitment to quality and operational excellence, aligning with Jennings O\'Donovan\'s and RSK Group\'s operational standards.
Key Responsibilities- Integrated Management System (IMS) Management:
- Develop, implement, and maintain Jennings O\'Donovan\'s Integrated Management System (IMS) in alignment with relevant ISO standards (e.g., ISO 9001:2015, ISO 14001:2015, ISO 45001:2018).
- Ensure the IMS is integrated into all company operations, project delivery, and business processes, and aligns with RSK Group operations.
- Drive continuous improvement of the IMS to enhance efficiency, effectiveness, and overall business performance.
- Monitor and report on IMS performance to senior leadership, identifying areas for improvement and recommending strategic corrective and preventive actions.
- ISO Accreditation and Standards:
- Lead and manage ISO certification processes, including preparation for external audits and liaison with certification bodies.
- Ensure ongoing compliance with applicable ISO standards, industry standards, and regulatory requirements relevant to the engineering consultancy sector in Ireland and internationally.
- Stay up-to-date with changes in ISO standards and regulatory frameworks, implementing updates to the IMS promptly.
- Support the business with obtaining additional certification as agreed with the Senior Management Team.
- Document Control and Review:
- Act as the lead Document Controller for the IMS, managing creation, review, approval, distribution, and archiving of IMS documentation (policies, procedures, work instructions, forms, templates).
- Ensure documents are current, accurately formatted, accessible, and version-controlled for relevant personnel.
- Implement and maintain a document management system (digital and physical as required).
- Facilitate regular reviews of IMS documentation to ensure accuracy and compliance.
- Manage upload, organization, and retrieval of documentation on digital platforms (e.g., SharePoint or similar systems).
- Internal Audits:
- Develop and implement a comprehensive annual internal audit program.
- Plan, conduct, and report on internal audits across departments and project processes to assess IMS compliance and identify improvements.
- Coordinate and track corrective and preventive actions from internal and external audits, monitoring implementation and effectiveness.
- Train or arrange training for internal auditors, fostering a culture of internal assurance.
- Provide regular updates to the Senior Management Team on audit trends and improvement opportunities.
- Training and Awareness:
- Develop and deliver training programs on IMS policies, procedures, and relevant ISO standards to promote understanding and adherence.
- Foster a culture of quality, environmental responsibility, and occupational health and safety.
- Stakeholder Collaboration:
- Collaborate with department leads, project managers, and project teams to ensure IMS requirements are understood and embedded into project delivery.
- Provide guidance and support to staff on IMS matters, promoting best practice and problem-solving.
- Bachelor\'s Degree in Engineering (Civil, Environmental, etc.), Quality Management, Environmental Science, Occupational Health & Safety, or a related technical field.
- 5 years proven experience in managing Integrated Management Systems, ideally within an engineering consultancy or similar professional services environment.
- In-depth knowledge and hands-on experience with ISO 9001, ISO 14001, and ISO 45001 are essential.
- Certified Internal Auditor (Lead Auditor certification in one or more ISO standards is desirable).
- Experience with robust document control and managing comprehensive documentation systems.
- Proven experience with SharePoint, intranet systems, or other enterprise-level document management platforms.
- Strong understanding of continuous improvement methodologies (e.g., Lean, Six Sigma) is advantageous.
- Exceptional organizational and meticulous project management skills.
- Attention to detail and accuracy in all tasks.
- Strong analytical, critical thinking, and problem-solving abilities.
- Excellent written and verbal communication skills, able to convey complex technical information clearly.
- Proficiency in Microsoft Office Suite and document management software.
- Ability to work independently and as part of a professional team.
- Proactive, self-motivated, results-oriented, and able to manage multiple priorities.
- Strong interpersonal skills with the ability to influence and engage stakeholders at all levels.
