Overview

We are looking for a Installation Co-Ordinator to join our Field Operations department. The successful candidate will be based onsite in our Dublin City Centre HQ, and be responsible for the day-to-day planning of activities for our team of Field Installation Engineers. The Installation Co-Ordinator will work to ensure all daily planned alarm installations are fulfilled, and contribute to the provision of a world class customer service. This is a full time permanent role reporting to the Planning Manager at PhoneWatch.

An exciting and challenging position, reporting to the Planning manager, the Installation Co-Ordinator will be responsible for supporting the field operations function in Ireland.

The key focus of this role will be to make sure that we keep our promises to our customers by executing planned alarm installations on a daily basis to achieve an optimal output from the department.

Responsibilities:

  • Ensuring that all work orders are fulfilled as promised to the customer.
  • Provide phone and email support both to field operations department and wider organization.
  • Manage day to day tasks to maximize output from the department.
  • Ensure Coverage areas are resourced sufficiently to achieve optimal service times to customers.
  • Management and administration of Service Power and Gantt planning applications e.g., profiles, skillsets, new users, coverage area, efficiency, annual leave, unplanned leave etc.
  • Maintain accurate records using internal CRM systems and planning tools.
  • Collation and distribution of daily, weekly, and monthly reports.
  • Reallocate tasks in cases of cancelled or rescheduled visits for customers.
  • Follow up directly with engineers where deviations to planned days are identified and take corrective action.

Key Tasks:

  • Achieve department and individual KPI's
  • Liaise with engineers to reschedule jobs and approve No Shows
  • Manage unassigned jobs list to ensure it is kept to a minimum

Requirements:

  • Previous customer service experience, minimum 1 year
  • Excellent communication skills both written and oral
  • Strong Analytical and problem-solving skills
  • Good geographical knowledge of Ireland
  • Highly motivated and ability to work in a team and on own initiative
