Job Title: Assistant to Senior Manager of Risk, Governance and Regulation

Reporting to: Senior Manager, Risk, Governance and Regulation

Purpose of Role

To provide dedicated support in the areas of risk, governance, compliance, and assurance across the organisation. The role will ensure that processes, reporting, and regulatory obligations are effectively maintained, while supporting colleagues in embedding best practice. The postholder will also provide system administration, coordination of Health & Safety requirements, and contribute to continuous improvement across compliance functions.

Key Responsibilities
  • System Administration (ViClarity):
    • Maintain and update records for starters and leavers.
    • Act as first-line support for user queries, escalating complex issues to the Senior Manager as required.
    • Monitor and report on accidents, near misses, and incidents, identifying trends or areas of concern.
    • Maintain and update user guides and process documentation.
  • System Support (Salesforce & Decision Time):
    • Provide user support and administrative assistance as required.
    • Maintain accurate records and ensure updates are completed in a timely manner.
    • Support colleagues in the effective use of both systems.
  • Health & Safety Coordination
    • Liaise with external providers (e.g. Holland Group) and internal stakeholders to ensure inspections, PAT testing, and reports are completed and uploaded.
    • Organise quarterly H&S meetings, including scheduling, agenda preparation, and minute taking.
    • Act as Health & Safety representative for Merchants Court, coordinating activities with other site representatives.
    • Serve as key contact with the Management Company for building-related H&S issues.
  • Compliance & Regulatory Support
    • Assist in responding to GDPR requests.
    • Support regulatory filings (CRO, CRA, RBO) and monitoring activities.
    • Track compliance with mandatory training.
    • Contribute to risk management processes and assurance reviews.
  • General Support
    • Provide occasional support to the EA to CEO as required.
    • Undertake any other duties within the scope of the role to support the effective operation of the Risk, Governance & Regulation function.
Skills & Experience
  • Previous experience in an administrative or coordinator role within compliance, governance, or a regulated environment.
  • Strong organisational and coordination skills, with the ability to manage multiple deadlines.
  • Experience using systems such as Vi Clarity, Salesforce, or Decision Time (desirable).
  • Excellent attention to detail and ability to maintain accurate records.
  • Strong communication skills, with the ability to liaise confidently with colleagues and external providers.
Level of Responsibility
  • Accountability for maintaining compliance records and ensuring processes run smoothly.
  • Responsibility for coordinating H&S and compliance activities but not for strategic decision-making.
  • No line management or budget responsibilities.
