Role Description

This is a full-time/part-time role for a Customer Service Administrator at Bausch+Ströbel SE + Co. KG located in Kilkenny. The Customer Service Administrator will be responsible for ensuring customer satisfaction by providing support, service, and enhancing the overall customer experience through effective communication.

Responsibilities:

  1. Customer Service / Sales Support:
    1. Systematically record and manage all customer inquiries.
    2. Prepare quotations, order confirmations, invoices, reminders, and handle internal and external correspondence.
    3. Participate in the organization and execution of (project) meetings with customers, partners, and potential suppliers, as well as relevant specialist departments.
  2. Planning:
    1. Assist in coordinating appointments with customers.
    2. Manage travel arrangements, including hotel bookings, document preparation, authorization requests, and checking the delivery of required parts for service visits.
    3. Follow up on trips, including invoicing, allocation of receipts to orders, and ensuring service reports are complete.
  3. Order Monitoring:
    1. Create internal orders for specialist departments and ensure all details required to start the order are clarified.
    2. Confirm delivery dates for critical and/or urgent orders.
    3. Monitor the requirement dates of current orders.
  4. Administrative Support:
    1. Check business transactions for completeness and accuracy, reconcile with internal documents, and prepare notifications and reports.
    2. Prepare and monitor incoming payments and outgoing invoices.
    3. Verify service technician timesheets and ensure accurate recording in the system.
    4. Undertake small special projects to optimize processes at the site.

Qualifications:

  1. Commercial training or equivalent qualification.
  2. Strong customer focus with an affinity for customer service.
  3. Excellent organizational skills.
  4. Experience in administration and office organization.
  5. Confident use of MS Office, especially Excel and Word.
  6. Independent and meticulous working style.
  7. Ability to communicate effectively and work collaboratively in a team.
  8. Fluent in English (German language skills are an advantage).
