About IAPIIAPI (Institute of Advertising Practitioners in Ireland) is the largest business representative body for the commercial creative and communications industry in Ireland. Our membership includes agencies from the advertising, media, digital, PR, and event sectors. Our purpose is to ensure that the advertising and communications industry thrives by lobbying and influencing key stakeholders on behalf of our members and a range of professional services and initiatives to support our members.
Role OverviewIAPI is seeking a proactive and highly organised Office Manager to manage day-to-day financial and administrative requirements and ensure the smooth operation of the office. The ideal candidate will be reliable, resourceful, enjoy working with a small team, and manage key tasks central to the operation of the organisation.
Key ResponsibilitiesPayroll and HR Administration- Manage payroll processing and related HR administrative duties (documentation and record-keeping for staff).
- Handle all aspects of member subscriptions invoicing, receipting, and addressing payment queries.
- Manage all financial transactions, including payments (Accounts Payable) and receipts (Accounts Receivable).
- Assist in the preparation of budgets and provide regular financial updates to the CEO.
- Coordinate with external auditors to prepare quarterly and annual management accounts.
- Oversee all administrative tasks to ensure the office operates smoothly.
- Manage office supplies, provisions, and catering for meetings and events.
- Coordinate building management and external service contracts.
- Support the CEO and oversee travel and accommodation arrangements and bookings.
