C&D Foods' Headquarters is in Mullingar, county Westmeath. At our C&D Foods site in Edgeworthstown we are currently seeking a highly organised and detail-oriented Site Administrator to support our operations onsite. This dynamic role involves managing training records, coordinating compliance activities, supporting audits, and providing administrative support across various departments. The ideal candidate will have strong IT and communication skills, a keen eye for detail, and the ability to work confidently in a fast paced environment. Role Overview: To Ensure compliance related to training is managed effectively across all departments onsite. Support all departments to ensure training needs are identified and met. Ensure administration in relation to training are managed in an efficient and organised manner. Provide reception cover or support for periods of leave, absence and visits. Key Internal Relationships: The successful candidate will collaborate with all departments within the site to ensure training compliance for all colleagues. Key External Relationships: Liaising with multiple training providers to schedule training and ensure good working relationships are developed and maintained. External auditors for all customers and government/auditing bodies. All visitors and contractors to site. Key Responsibilities: Provide reception cover and support, demonstrating full competence in all reception-related duties. Maintain the highest standards of personal presentation and professionalism at all times. Ensure that site security protocols are consistently implemented and effectively managed. Adhere strictly to audit Standard Operating Procedures (SOPs), including ensuring that no individual enters the factory without the presence of the relevant manager. Maintain the highest level of confidentiality in the handling of both information and physical records. Ensure that all document revisions for materials are correct and up to date. Be a point of contact for Training information and training record requests for both internal and external audits. Ensure full training compliance across all mandatory training areas e.g. Forklift Training, Manual Handling, Food Safety Etc. Monitor and schedule compliance related training ensure all aspects are coordinated and managed in an efficient manner. Processing payments related to training costs in a timely manner and keeping within the annual training budget. Responsible for updating training records and HR noticeboards across all areas of the site in relation to training, events, company announcements etc. Complete quarterly audits on training platforms to ensure all employees are registered and compliant for training. Work closely with HR, H&S, Engineering, Quality and Production to ensure all training needs and gaps are identified and resolved. Liaise with external training providers and internal managers to schedule Training. Archiving and filing of current and historical training records both on hard and soft copy while ensuring that they are retained in an organised manner. Ad-Hoc site Administration duties as and when required. Key performance Measures: Maintain compliance levels on the eLearning platform, ensuring that required training percentages are consistently met. Ensure accurate and consistent reporting of training data across all systems, including Training Manager, eLearning Platform, and Training Matrix. Maintain organised and easily accessible training documentation in both hard and soft copy formats to support audit readiness. Provide timely, organised, and professional support to all departments during internal and external audits, ensuring all required training documentation is available and complete. Attention to Detail: Maintains accuracy and thoroughness in data entry, documentation, and reporting across multiple systems. Organisational Skills: Effectively manages time, prioritises tasks, and maintains structured records to support audit readiness and operational efficiency. Communication Skills: Communicates clearly and confidently, both verbally and in writing, with internal teams, external providers, and auditors. Initiative and Accountability: Proactively identifies training needs, follows through on tasks, and takes ownership of responsibilities with minimal supervision. Adaptability: Responds positively to changing priorities and demonstrates flexibility in supporting cross-functional teams. Collaboration: Works effectively with colleagues across departments (e.g. H&S, Quality, Production) to ensure training compliance and continuous improvement. Confidentiality and Integrity: Handles sensitive information with discretion and adheres to data protection and company confidentiality standards. Customer Service Orientation: Provides professional and timely support to internal stakeholders and external visitors, ensuring a positive and efficient experience. Professional Requirements: Proven experience a minimum of 2 years in a training coordination, administration, or compliance-related role, preferably within a manufacturing or regulated environment. Strong IT proficiency, with advanced skills in Microsoft Office and Learning Management Systems (LMS). Demonstrated ability to manage and process data accurately, confidentially, and within required timeframes. A "Train the Trainer" qualification is desirable but not essential. A working knowledge of Quality and Health & Safety compliance requirements is advantageous. Familiarity with audit processes and documentation standards, including internal and external audit preparation is desirable but not a necessity. Understanding of Quality Assurance and Health & Safety compliance requirements within an operational setting is advantageous but not essential. Ability to manage training budgets, process related payments, and maintain accurate financial records. Knowledge of GDPR and data protection principles in relation to employee records and training documentation.
