Building a sustainable tomorrow We are looking for an Administrator to join our Plant Department at Head Office in Kill, Co. Kildare. This is a permanent, full-time position with some hybrid working options. The Administrator will be responsible for assisting the effective management of the Plant Department, offering assistance to all members of the administration team and taking on relevant administration duties as and when required. Your mission Dispatch and Return all Plant and Vehicles. Assign vehicles and maintain records for BIK. Organise vehicle maintenance, including booking NCT, DOE and Tax. Assist in the month end procedure. Assisting with management of all maintenance documentation for vehicles & plant & safety equipment. Processing and monitoring orders and liaising with suppliers. Carrying out general office duties i.e. filing, stock taking, completing spreadsheets. Issuing invoices to internal and external customers. Organising reporting and management of vehicle/plant maintenance and faults. Reception cover for holiday's and breaks. Process invoices, ensuring correct matching to PO. Reconciliation of creditor statements. Book Flight and Accommodation. Process Credit Card receipts and reconciliations of statements. Lease Reconciliations. Data entry good received, delivery dockets and invoice entry. Preparing reporting in Excel. File Maintenance -Filing and archiving. Providing support and cover to team members as required. Assist in administrative duties as and when required. Who are we looking for? Minimum of 2 years' experience in a similar role. Experience in Purchasing Department, Accounts Payable, Operations preferred. Excellent verbal and written communication skills required. Ability to work independently as well as within a team environment. Ability to work in a fast-paced, deadline-oriented environment. Strong organizational skills Strong attention to detail and adherence to procedures for data entry and integrity. High level sense of urgency with ability to prioritize work and escalate to management accordingly. Must be a highly motivated, professional and enthusiastic individual who is flexible and has a "hands on" approach in a busy working environment. Strong Microsoft Office skills - particularly Excel.
