Responsible for: Providing advice and hands-on assistance to DRI members to facilitate the ingest, preservation and publication of their collections online.

Overview

The Training Manager and Digital Archivist is a new role at the DRI; the successful candidate will be responsible for leading the training of members and providing direct assistance to depositors in preparing and uploading their collections for publication on the DRI.

The DRI is a certified trustworthy digital repository for the arts, humanities and social sciences, and is a national infrastructure for preserving and providing access to Ireland’s social and cultural digital data. The DRI also operates as a community hub for policy, advocacy, training and best practice in digital preservation, digital archiving, FAIR data management and Open Science.

Key purpose of role

The Training Manager and Digital Archivist will work closely with the Digital Archivist, Membership Manager and technical team to assess incoming digital collections and provide suitable training and hands-on assistance to DRI members to facilitate the ingesting, preservation and publication of their collections online.

The successful candidate will also be responsible for amending and conforming metadata for digital collections to be uploaded to the DRI. They will train depositors on how to ingest their collections to the DRI’s repository, offer guidance on naming conventions, descriptive metadata and folder structure, and provide advice on the use of appropriate file formats and how to ‘clean’ existing metadata using appropriate tools.

The successful candidate will also contribute to wider DRI projects, present the work of the DRI at events and conferences, sit on working groups and participate in other activities as they arise. The position is based at the Digital Repository of Ireland at the Royal Irish Academy.

Key accountabilities

Training:

- Chairing a DRI training working group that will oversee the development and roll-out of a five-year training plan that aligns with DRI’s new strategic plan.
- Actively understanding membership and broader stakeholder requirements in terms of training and collections to enable members to deposit quality collections in line with internal workflows and organisational policy.
- Delivering training workshops/seminars on using the repository, ingest and data preparation and cleaning to a range of members with varying skill levels.
- Assisting members with issues related to collection preparation (e.g. structure, metadata, file types).
- Developing a training plan that focuses on workflows and using data preparation and cleaning tools to improve collections for batch ingest.
- Ensuring DRI training meets accessibility requirements.
- Deliver user interface/user experience workshops, to gather input for training and development plans.

Digital Archives:

- Providing expert advice to depositors on DRI’s format, metadata and licensing guidelines and other policies; administering user accounts and responding to depositor queries.
- Cleaning metadata relating to digitised and born-digital cultural heritage and social science collections.
- Liaising with DRI’s technical team and depositors to troubleshoot ingesting of collections and facilitate efficient publication of collections.
- Participating in DRI taskforces and other working groups.
- Presenting the work of DRI at public events and professional conferences.
- Developing and documenting DRI’s internal digital archiving workflows.
- Any other duties as directed.

Person specification

- A relevant qualification in library, information or archival studies.
- A Masters or postgraduate qualification in a relevant discipline.
- A minimum of three years’ relevant practical experience.
- Demonstrable digital archiving working experience.
- Demonstrable experience in providing training on technical subjects.
- Experience or skills in one or more of the following: archives and libraries, digital preservation, digital repositories, metadata, content management and organisation, digital access and access rights.
- Hands-on experience of one or more of the following: digital asset preparation, metadata cleaning, data and metadata format shifting and manipulation, data ingestion.
- Familiarity with open-source software, command line or batch data cleaning tools used in digital preservation and archiving.
- Working experience with Dublin Core, MARC 21, MODs or EAD.
- Some experience in developing and providing training in an online or live environment.
- Some automation/scripting ability with language such as Python.
- Experience in OpenRefine.
- Knowledge of copyright law in Ireland.
- Proficiency in the Irish language.
