Job Summary

The Executive Assistant plays a key role in supporting our executives by managing administrative tasks, coordinating schedules, and assisting with various projects. In addition to these responsibilities, the role includes providing on-site support to the office team, coordinating in-office events, and fostering a positive and engaging office culture. This is an exciting opportunity for an organized, detail-oriented, and proactive individual to thrive and grow within our dynamic SaaS company.

Key Responsibilities

1. Schedule meetings, appointments, travel and events for executives.
2. Resolve scheduling conflicts and ensure efficient use of time.
3. Process expense reports and invoices.
4. Coordinate travel arrangements, including flights, accommodations, and itineraries.
5. Organize and maintain records, files, and documents.
6. Assist with setting up virtual or in-person meeting spaces.
7. Oversee daily office operations in the Cork office, ensuring a well-organized, efficient, and professional environment by managing supplies, facilities, and vendor relationships.
8. Organize and support internal and external events, meetings, and team-building activities, ensuring seamless logistics and communication for all participants.
9. Collaborate with facilities on hosting and organizing Cork based events for employees.
10. Serve as the cultural champion and liaison within the workplace, ensuring a positive, inclusive, and engaging environment.
11. Collaborate with leadership to implement changes that align with employee needs and company goals in the Cork office.
12. Support Executives as a liaison between executives and various departments.
13. Assist in fostering team communication and collaboration.
14. Support internal and external communications, including email correspondence as requested.

Education & Experience

1. Bachelor’s degree in business administration, Communications, or a related field (or equivalent experience).
2. 1-2 years of experience in an administrative or executive support role (experience in a SaaS or tech environment is a plus).
3. Proficiency in Microsoft Office Suite, Concur, Google Workspace, and scheduling tools (e.g., Calendly, Slack).
4. Strong written and verbal communication skills.
5. Exceptional organizational and time-management abilities.
6. High level of discretion and professionalism.
7. Ability to multitask and prioritize in a fast-paced environment.

Compensation

Actual salaries will vary and will be based on various factors, such as the candidate’s qualifications, skills, competencies, and geographic location. The salary is one component of Company's total compensation package for employees.
