Job Description:

This role involves managing multiple-unit properties within the property management portfolio. The successful candidate will be responsible for ensuring the smooth operation of these properties and delivering excellent customer service to tenants and clients.

Key Responsibilities:
  1. Managing multiple-unit properties within the property management portfolio, ensuring efficient day-to-day management.
  2. Preparing annual budgets and quarterly expenditure reviews to ensure financial control and efficiency.
  3. Approving invoices for works completed at properties, ensuring timely payment and minimizing delays.
  4. Liaising with tenants and clients on regular general operations within the properties, addressing any concerns or issues promptly.
  5. Reviewing services to properties, including negotiations with contractors for maintenance and service contracts, ensuring best value for money.
  6. Preparing reports in conjunction with the surveyor and accounts manager on a quarterly basis to inform clients about their properties' performance, highlighting areas for improvement.
  7. Liaising with on-site building managers regarding daily operations, including monitoring, supervision, and performance review, ensuring seamless day-to-day management.
  8. Reviewing planned preventative maintenance programs to prevent equipment failure and minimize downtime.
  9. Implementing and managing Health and Safety and Insurance requirements, ensuring compliance with regulations and minimizing risk.
  10. Liaising with prospective tenants, providing them with information about the properties and facilitating viewings.
  11. Liaising with insurance brokers regarding queries and dealing with loss adjusters for insurance claims, resolving issues efficiently.
  12. Regular on-site visits/inspections of the properties, identifying potential issues and taking corrective action.
  13. Liaising and reporting to senior management and clients regularly to review the properties' performance, providing actionable insights and recommendations.
Person Specification:

This role will suit a qualified property manager with at least 5 years of experience in a commercial property management environment.

Required Skills and Qualifications:
  1. Holding a SCSI or related qualification.
  2. Technical knowledge and/or Facilities Management experience.
  3. Effective communication and interpersonal skills.
  4. Excellent IT and Organizational Skills.
  5. A capability for achieving targets and meeting deadlines.
  6. An organized task manager who can handle multiple regular deadlines.
