Engineering Administrative Assistant

Support the engineering department by providing administrative assistance in a global pharmaceutical company. Manage daily tasks, review and distribute engineering procedures, oversee document control, and coordinate meetings.

Key Responsibilities:
  • Manage day-to-day activities to ensure efficient workflow and productivity within the engineering department.
  • Assist in reviewing, updating, and distributing engineering documents to maintain accurate documentation and regulatory compliance.
  • Oversee the issuance, tracking, and retention of engineering documents, adhering to document control policies.
  • Support procurement processes by managing requisitions and purchase orders for engineering projects, collaborating with suppliers and internal stakeholders.
  • Maintain and organize the QA Document Room, ensuring secure storage, easy retrieval, and proper handling of quality-related documents.
  • Coordinate meeting room bookings for contractors and visitors, as well as schedule ad-hoc meetings to support departmental activities.
  • Coordinate training schedules, track attendance, and maintain training records for the Engineering department, ensuring compliance with internal and external training requirements.
Requirements:
  • Experience with procurement processes and PO administration.
  • Knowledge of quality management systems and regulatory compliance.
  • Ability to work independently and as part of a team.
  • Demonstrated ability to work within a regulated manufacturing environment.
  • Minimum 3 years experience in Document Management activities in Pharma/Biopharma industry.
Qualifications:
  • Relevant third-level qualification in Engineering, Business Administration, Quality Management, or related discipline is highly desirable.
  • Preferred qualifications include Diploma or certificate in Engineering Technology, Quality Assurance, or Document Control.
  • Training or certification in Quality Management Systems (e.g., ISO 9001, GMP) is advantageous.
