We are seeking an extremely well-organised and professional individual to fill the role of Administrative Operations Coordinator in Shannon.
Key Responsibilities:- Act as the first point of contact, providing a warm and professional welcome to all visitors and managing the sign-in process effectively.
- Answer and direct all inbound calls promptly and efficiently, ensuring seamless communication.
- Maintain the reception area's immaculate and professionally presented condition at all times.
- Manage security access cards for employees and visitors securely and efficiently.
- Oversee the management of meeting room calendars, ensuring accurate bookings and preparation with necessary supplies.
- Handle all incoming and outgoing post and courier services, including sorting and distributing deliveries.
- Proactively manage stock levels of office stationery and kitchen supplies, placing orders with suppliers as needed to maintain optimal supply levels.
- Provide ad-hoc administrative support to the Executive and Management teams, including scanning, photocopying, binding, and filing accurately.
- Coordinate travel arrangements, including booking taxis and maintaining accurate travel logs for employees.
- Process invoices for payment using the company's invoicing system efficiently.
