Job Description

The Facilities Coordinator role at TN Ireland is responsible for ensuring the smooth day-to-day operations of the site. This includes staff queries, reactive callouts, visitor and access control management, document control, space planning, cleaning audits, site signage, event catering, and meeting/event organization and setup.

Key Responsibilities
  • Operational Management: Assign tasks to the Welcoming Services/Lobby Ambassador to deliver high-standard front-of-house services and adhere to security policies.
  • Safety and Compliance: Ensure Security, Health, and Safety procedures are always followed, manage fire drills, and close action items from the annual risk assessment.
  • Vendor Management: Oversee the total Facilities management contract for both hard and soft services, including cleaning, maintenance, and on-site vendors.
  • Ticketing System: Manage the in-house ticketing system for Facilities queries from employees.
  • Training and Support: Conduct Facilities induction training for new employees, provide backup support for Staff Sales, and act as primary support for the Facilities Manager for Finance processes.
Additional Responsibilities
  • Documentation and Certification: Maintain ISO14001 and ISO50001 certifications, update the Business Continuity Plan (BCP) document, and facilitate discussions on energy-saving initiatives with landlords.
  • Sustainability: Lead the Sustainability Committee (Green Team) within the ESG initiative to drive and implement the sustainability strategy locally, promoting progress towards sustainability goals.
