Job Summary:

We are seeking an experienced Administrative Assistant to join our growing Dublin team, based in the IPS office in Parkwest. The successful candidate will be responsible for providing administrative support to our operations team, including greeting visitors, handling post and invoices, and coordinating meeting logistics.

Key Responsibilities:
  • Greet and welcome all visitors into the Dublin office, ensuring a professional and courteous experience.
  • Handle all inbound and outbound post, including coordination of courier services to ensure timely delivery.
  • Process office-related invoices and liaise with the Finance department for timely payment.
  • Oversee meeting logistics, including greeting guests, arranging catering, and ensuring meeting rooms are clean and well-maintained.
  • Ensure the office is fully stocked with necessary stationery, supplies, and personal protective equipment (PPE).
  • Organize travel arrangements for EMEA team members, including flights, accommodation, and transportation.
  • Plan and organize social and team-building events for Dublin colleagues.
  • Provide support to other administrators across EMEA as needed.
Requirements:
  • A minimum of 2 years' experience in an administrative role.
  • Excellent organizational and communication skills, with the ability to manage multiple tasks simultaneously.
  • Experience with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Ability to work independently and as part of a team in a fast-paced environment.
