Aviation Administration Specialist Job Summary


Vistra is seeking a highly skilled and experienced Aviation Administration Specialist to join our team. As a key member of our team, you will be responsible for delivering exceptional client service and administrative support to our aviation clients.


The ideal candidate will possess excellent communication and organizational skills, as well as the ability to work effectively in a fast-paced environment. You will be responsible for managing multiple projects simultaneously, prioritizing tasks, and meeting deadlines while maintaining a high level of accuracy and attention to detail.


Main Responsibilities


  • Assist in onboarding new clients, including coordinating the incorporation of legal entities when necessary.
  • Provide support to internal and external stakeholders for client portfolios on a daily basis.
  • Oversee all aspects related to transactions, including documentation and administration tasks.
  • Ensure timely completion of client reporting deadlines and address any ad-hoc client requests promptly.
  • Review and approve ongoing servicing activities provided to clients, including monthly investor reports, debt reports, and coordination with the Accounting team to ensure timely delivery of management accounts, annual financial statements, corporate income tax returns, regulatory returns, and VAT returns for clients.
  • Perform investor/debt reporting duties for clients, including reconciliation of servicer reports to bank accounts and monthly reports.
  • Manage all aspects of cash management, including oversight and monitoring of receipt and disbursement of funds through to settlement, execution of funds transfers to/from accounts as required, and daily cash reconciliation of client operating accounts through to resolution.
  • Prepare all required reporting (daily, weekly, monthly, and quarterly) within required deadlines; specifically prepare Monthly Investor/Debt Reports following strict application of cash flow waterfall procedures and checklist.
  • Distribute the Monthly Investor/Debt reports within strict deadlines.
  • Maintain excellent working relationships with clients.
  • Be responsible for internal control of client reporting and administration processes in use; identify opportunities for process improvement and efficiencies, and implement change.
  • Assist the Accounting team in the annual audit process and tax compliance work, ensuring review for any deliverables as required.
  • Organize, prepare agendas for, and take minutes of board meetings and annual general meetings (AGMs).
  • Attend and participate in client board meetings and AGMs as required (e.g., to present financial results), and subsequently file financial statements with the CRO.
  • Liaise with the internal company secretary and compliance department, and the client, in relation to corporate filings to ensure compliance with Irish law and any contractual obligations.
  • Maintain excellent working relationships with third parties such as Revenue Commissioners, Companies Registration Office, Auditors, Tax advisors, Legal advisors, and banks as required.
  • Assess client profitability.
  • Ensure clients are billed in accordance with agreed terms.
  • Ensure achievement of targets and KPIs as agreed with directors.
  • Escalate any issues related to client or staff delivery to directors.
  • Perform ad-hoc duties as assigned from time to time.
