About the Position

TTM Healthcare is delighted to offer a unique opportunity for a motivated and detail-oriented individual to join our team as a Healthcare Service Officer. As a key member of our client's administrative staff, you will play a vital role in supporting the efficient delivery of healthcare services.

Key Responsibilities

  • Manage and draft correspondence, reports, and meeting minutes
  • Prepare documentation, reports, notices, and meeting venues
  • Set up and maintain filing systems and databases to record and track service-user records
  • Monitor and evaluate administrative procedures to support a client-centered service
  • Screen telephone calls, take accurate messages, and forward them to relevant staff
  • Greet and assist visitors in a courteous and efficient manner
  • Address general queries and provide information or assistance
  • Facilitate smooth internal and external communication within the clinical team
  • Receive, sort, and distribute incoming mail efficiently
  • Manage outgoing mail daily, ensuring timely processing
  • Organize and schedule appointments for service users and staff

Requirements

  • Strong administrative and organizational skills
  • Excellent communication and interpersonal abilities
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and database management
  • Ability to handle confidential information with discretion
  • Strong time management and multitasking skills
