This dual-function role combines the provision of executive administration support to the President and Council, the Director of Education as well as providing administrative support to the CA Support function.
The ideal candidate will have Executive Assistant experience at a senior level in a similar role. However, the overriding requirement is that the suitable candidate will have the competencies previously outlined coupled with the necessary personal attributes.
Council & Leadership Team Executive Assistant Support:
• Communicating with the President, Council and Board members to ensure availability for meetings,
arranging venues, hotel accommodation, and where required, transport for Board and Council
members.
• Organise events and functions for Chartered Accountants Ireland President, Oversight Board and
Council; including venues, accommodation, menus, audio-visual or technology support, etc.
• Work alongside other Executive Assistants in the Institute on projects and provide cover when required.
• Proactive management of the Director of Education and Training, President and Oversight Board's
diaries where required
• Direct incoming calls, visitors and email.
• To attend meetings where required and assist with minute taking.
• Some travel may be required to attend council meetings, events, and other activities.
• Other ad hoc duties as requested.
CA Support/Thrive Key responsibilities
• To be a key point of contact for members/students accessing the service
• Proactively engage and follow up with service requests
• Ensure efficient processing of beneficiaries' payments, grants lists and abatements
• Monitoring and reconciliation of Sterling and Euro bank accounts
• Liaising with banks regarding queries, statements, payments etc
• Quarterly projection/cash flow to end of year/audit queries.
• Monitor and record monthly receipts of all donations
• Manage correspondence to donors re tax relief, standing orders etc
• Responsibility of GDPR procedures for CA Support
• Arrange logistics for quarterly board meetings – rooms, catering, papers and minute-taking
• Work with the CA Support/Thrive Wellbeing team when hosting fundraising and other events
• Take an active role in understanding the challenges that members and students face and the supports the team provides
Requirements:
• Have strong organisational skills and attention to detail.
• Comfortable working on own initiative and part of a team.
• Excel at managing a diverse and demanding workload.
• Proficiency in MS programmes, including Excel, , Word and Teams.
• Experience of administration of a CRM system advantageous.
