Lilly Meetings and Congresses is a centralized global meetings team that offers best in class, end to end compliant and seamless execution of meetings and events, utilizing efficient tools and processes to accelerate business requirements and deliver outstanding customer experiences.

We take care of all aspects of health care providers and employee meetings for all business areas as Marketing, Medical, Sales and others, delivering an end-to-end support that includes strategic project management, consultancy, logistics planning and oversight, contracting, administrative and finance support, vendor management, on-site execution and facilitate transparency publication.

The Lilly Meetings and Congresses Centre of Excellence Team will focus on delivering value-add meeting activity around governance and supplier management, financial support and transaction processing, transfer of value (ToV) compliance, data reporting and analytics, training and implementation and local Customer Meeting Services (CMS) activity.

Responsibilities:

Reconciliation activities:

Meeting Spend: review the actual (final) meeting budget for completeness and accuracy against all supplier invoices. Supplier invoices: review invoices against vendor contract/rate card and services rendered documentation to validate charges and ensure that that all discounts and concessions were applied. Ensure that invoice is Value Added Tax (VAT) eligible as applicable. Execute financial reconciliation and payments process (Virtual Credit Card) to ensure that all the backup documentation is valid and has been correctly uploaded in the system. Submit monthly reconciliation of vPayment charges. Review Cost Centre & GL Account and ensure that all data complies with local finance requirements. Budget: review approvals for total budget amount and compliance to financial policies. Record data in support of Service Level Agreement (SLA) tracking related to supplier reconciliation errors. Troubleshoot issues as needed Payment and Accounting Activities.

Compliance:

Provide subject matter expertise related to Meetings and Events Controls and Transfer of Value (ToV) data capture in Lilly’s Meeting systems. Recommend continuous monitoring steps that help effectively detect and correct inaccurate or incomplete compliance data. Record data in support of Service Level Agreement (SLA) tracking related to Data Quality and accuracy. Participate in / sponsor process improvement initiatives. Documentation and compliance activities supporting Congresses/Independent Meetings transfer of ToV.

Process Controls:

Conduct periodic and in-process data reviews to assure overall data quality of data prior to disclosure, including investigating any anomalies. Support Transparency disclosure efforts, including any previews or customer communications. Conduct regular post-meeting reviews to ensure that Transfer of Value (ToV) data are captured correctly and accurately with supporting documentation in Lilly’s Meeting systems. Conduct periodic process reviews to assess compliance to non-ToV data quality and accuracy in Lilly’s Meeting systems. Communicate any corrections needed to users; ensure resolution. Record data in support of Service Level Agreement (SLA) tracking. Initial point of contact for the Transfer of Value (ToV) disputes process, triaging the query as appropriate if cannot resolve the dispute, working with Global Transparency. Review and resolve Cvent Kick Outs.

Basic Requirements:

Bachelor’s degree and/or equivalent relevant working experience could apply. Additional language would be an advantage, with a preference for French/Spanish. Knowledge and expertise using systems, applications or devices as MS Office 365, SAP, others. Minimum of 3 years of pharmaceutical industry experience or meetings and events background 

Additional Skills/Preferences:

Experience in project management and effectively managing relationships with key stakeholders. Finance experience essential. Requires business and/or technical knowledge developed through education or experience using discipline and understanding of key business drivers. Over time should be able to improve processes, products, and services.  Be able to create impact at different levels: immediate peers and across teams. May lead small to medium projects with small to moderate risk. Effective and agile communications skills are needed. Requires analysis of possible solutions to solve and anticipate a range of day-to-day problems including standard and non-standard requests. Be able to provide support on solving issues, within a team or multiple teams over time.
