Role Overview

My client is seeking a highly adaptable and detail-oriented Operations Officer to take on a diverse and dynamic role within their growing jewelry business. This position offers an exciting opportunity to manage both ecommerce and retail operations, develop and implement key systems, and support the Director in driving the company’s growth. No two days will be the same, as you’ll juggle a wide range of responsibilities across project management, recruitment, budgeting, and operational strategy. The role requires a proactive, solutions-focused individual who thrives in a fast-paced start-up environment.

Key Responsibilities

Operational Management

  • Oversee all operational aspects of both ecommerce and retail operations, ensuring smooth and efficient day-to-day functioning.
  • Develop and implement operational processes, systems, and policies to improve efficiency and effectiveness.
  • Manage logistics, inventory, and fulfilment processes to ensure timely delivery and stock optimization.
  • Provide oversight and support to ensure excellent customer service across all channels.

Diverse Project Management

  • Lead and coordinate a variety of projects, including the opening of new retail stores and the rollout of new systems, processes, or technologies.
  • Develop detailed project plans, timelines, and budgets to ensure successful project delivery.
  • Work with cross-functional teams and external vendors to bring projects to completion on time and within budget.
  • Regularly assess and improve existing processes, ensuring the organization stays agile and innovative.

Recruitment & Personnel Management

  • Oversee the recruitment process, including identifying staffing needs, creating job specifications, interviewing, and onboarding new hires.
  • Support team development through training, performance management, and fostering a collaborative work environment.
  • Work closely with the Director to ensure the organizational structure supports business growth.

Strategic & Administrative Support

  • Partner with the Director on organizational planning, business strategy, and structure development.
  • Develop and manage comprehensive budgets, ensuring cost controls and financial efficiency.
  • Act as an Executive Assistant to the Director, managing schedules, administrative tasks, and coordinating strategic priorities.
  • Provide insights and recommendations to the Director to inform decision-making and growth initiatives.

Skills & Qualifications

Experience

  • Proven experience in a similar role, managing both ecommerce and retail operations.
  • Experience in project management, including leading the opening of new retail stores and implementing operational systems.
  • Extensive experience in managing and implementing budgets, including financial forecasting and cost control.
  • Recruitment experience, from identifying staffing needs to onboarding and developing teams.

Technical Skills

  • Expert-level proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), including advanced Excel functions such as pivot tables, financial modeling, and data analysis.
  • Familiarity with ecommerce platforms, retail systems, and CRM software.
  • Strong project management skills with a proven ability to manage multiple projects simultaneously.

  • Highly adaptable, with the ability to juggle multiple responsibilities in a fast-paced, ever-changing environment.
  • Excellent organizational and project management skills, with a focus on delivering results.
  • Strong interpersonal and communication skills to effectively collaborate with teams and external partners.

Education

  • Bachelor’s degree in Business Administration, Operations Management, or a related field is preferred.
