Team Description

The Global Real Estate and Workplace Services (WPS) team is tasked with creating and maintaining our distinctive ServiceNow work environments worldwide, helping to make our mission tangible in physical spaces. Responsible for the complete life cycle of our physical workplaces, from conception to decommissioning, we play a crucial role in shaping the employee experience through our workspaces, services, and facilities.

Job Overview

This role involves overseeing Real Estate transactions, flexible office/pass programs, and overall portfolio management of ServiceNow's real estate assets in the EMEA region, comprising around 550k SF of fixed and serviced offices, catering to 4,275+ employees. The position requires close collaboration with internal and external stakeholders, such as Planning & Design, PMO, Operations, business leaders, country managers, real estate brokers, legal, finance, accounting, and other external partners as necessary. The primary responsibilities include ensuring that the real estate portfolio aligns with the company's overall strategy across site selection, acquisition, and disposal, and acting as the primary point of contact for stakeholder engagement and communication throughout strategy planning and execution, all while upholding financial prudence.

Responsibilities

  • Management experience in overseeing an office portfolio of 1 Million square feet or more
  • Ability to comprehend business requirements and harmonize them with the overarching real estate strategy, emphasizing utilization and portfolio optimization to ensure financial prudence
  • Establish strategic partnerships and collaborations with key stakeholders in the region and corporate counterparts
  • Contribute to shaping the real estate strategy by exploring all avenues to achieve savings and cost efficiencies (e.g., lease negotiations, rightsizing, OpEx management to ensure budget alignment)
  • Effective communication and presentation skills tailored to diverse audiences at various organizational levels
  • Skilled in conflict resolution, consensus-building, and problem-solving
  • Oversee lease administration processes for the EMEA region
  • Supervise broker relationships within our fully outsourced real estate model for the EMEA region, ensuring adherence to deliverables (e.g., QBR's, KPI's, savings)
  • Collaborate closely with the Director, Global Real Estate, Planning & Design, PMO, Ops, and stakeholders to establish precise budgets during the annual operating planning process and provide ongoing support throughout the year
  • Accountable for accurate budgeting, forecasts, and accruals for the EMEA region, collaborating with FP&A on the implications of real estate transactions
  • Engage with internal and external legal teams during lease negotiations
  • Cultivate an inclusive and collaborative environment that fosters teamwork and success
Qualifications

  • Preferably hold a Bachelor's degree with substantial experience in corporate real estate, transaction management, lease administration, or related fields
  • Strong negotiation and stakeholder management capabilities
  • Proficiency in budget management processes
  • Exceptional attention to detail
  • Ability to thrive in a fast-paced environment
  • Strong organizational skills coupled with a keen investigative mindset
  • Experience collaborating closely with finance departments
  • Proficient in Microsoft Excel (data analysis, pivot tables, etc.) and PowerPoint
  • Excellent verbal and written communication abilities, along with strong teamwork skills
  • Demonstrated capability to effectively engage with individuals in diverse roles at all levels
  • Exhibits strong decision-making skills based on data insights
