Job Description Job Title: Apprenticeship/Work Based Learning Executive Business Unit / Function: Apprenticeship Unit Reports To: Apprenticeship Team Lead/Assessment Lead 1. JOB PURPOSE This role sits within the Apprenticeship team, reporting to the Apprenticeship Team Lead and the Assessment Lead. The Apprenticeship/Work-Based Learning Executive is part of the Apprenticeship Team and is responsible for the effective and efficient running and coordination of all Accounting Technicians Apprenticeship - Work-Based Learning. providing support to students across the apprenticeship programmes offered by ATI in ROI and NI. 2. PRINCIPAL RESPONSIBILITIES Student Engagement and Support: Communicate with students ahead of submission deadlines to provide guidance and support. Provide students with preparation resources and clear submission instructions. Mentor Liaison: Engage with workplace mentors to advise them on student submissions. Work with the Apprenticeship Lead/ Assessment Lead on mentor training workshops. Conduct Employer Mentor QA visits alongside the apprenticeship team. Submission Management: Proactive engagement with students ahead of submissions. (Reminders of deadlines, contact person for queries or issues) Track and manage all student submissions, ensuring timely follow-up on non-submissions and extensions. Support failing students with resubmission timelines and guidance. Feedback Maintain detailed records of feedback for students, lecturers, college mentors, workplace mentors and correctors. Coordination of Correctors and Examiners: Work with the Assessment Lead to appoint correctors and examiners for Work Based Assessment. Organise contracts and process payments for Work-Based Assessment (WBA) correctors and external examiners. Liaise with moderators to ensure all tasks are graded promptly. Scheduling and Communication: Develop and maintain schedules for: Work Based Assessment Board. Annual production timelines. WBA webinars and Moodle page updates. Send reminders and notifications for submission deadlines. Data and Reporting: Record and release WBA marks on Moodle and Touchpoint. Prepare performance and engagement reports for the Programme Board. 3. CONTEXT The Apprenticeship Unit is responsible for the development and delivery of the Accounting Technician Apprenticeship. The Apprenticeship Unit works closely with external stakeholders (QQI, Solas, NAO, ETBs, employers) and internal departments (Student Registration, Examinations, Online learning, etc). The Apprenticeship Unit also provides various reports to the Education Board, Consortium Steering Group and the Programme Boards. 4. JOB BOUNDARIES The Apprenticeship/Work Based Learning Executive is responsible for the effective and efficient running and coordination of all Accounting Technicians Apprenticeship (ATA/HLA) - Work Based Learning The role can expect to receive competent and effective support from other members of the ATA Team on a regular basis. IT support and reporting tools are also available to assist with reporting requirements and changes or refinements to these requirements which can be channelled through the IT department when required. Within the wider ATI team, there is good communication and healthy working relationships between team members. The ATI team members provide each other with excellent support in terms of advice on technical, systems, academic issues of standards, distribution of workload and reviewing of work. 5. KNOWLEDGE AND EXPERIENCE The role requires the following: Third-Level Qualification 2 years office experience The role requires the following skills: Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Prioritising tasks effectively Ensuring accuracy in documentation, data entry, and reports Handling multiple projects or requests simultaneously Clear written and verbal communication Working well with colleagues, managers, and external stakeholders Quickly adjusting to changes in tasks or priorities Assessing situations and taking appropriate action with minimal supervision Taking proactive steps to improve processes or solve issues Being reliable and consistent in completing tasks 6.
