Accounts Administrator Role
Location: Full-time position based at the company's office in Briarhill Business Park, Galway.

Hybrid working model may be considered after a successful probation period.

Reports To: Chief Operating Officer (COO)

As an Accounts Administrator, you will be responsible for ensuring the smooth and accurate processing of the company's financial transactions. You'll play a key role in maintaining financial records, ensuring compliance, and supporting the company's overall financial health.

The ideal candidate will have a background in accounts administration or bookkeeping, with experience using accounting software (preferably QuickBooks Online). You will manage both Accounts Payable (AP) and Accounts Receivable (AR), ensuring all transactions are recorded accurately and processed in a timely manner. This means that you will need to verify, post, allocate, and reconcile financial transactions to ensure our accounts are up to date.

Additionally, this role includes some administrative duties and will involve office management duties. You will be working closely with the COO and senior management to support daily operations and contribute to overall business efficiency.

Key Responsibilities
Accounts Administration

  • Maintain accurate and detailed financial records using QuickBooks Online (QBO) accounting system.
  • Manage Accounts Receivable (AR), including credit control, to ensure timely collections. This includes preparing and issuing monthly invoices on invoicing system, and managing invoices, receipts and reconciliations of the same on QBO.
  • Manage Accounts Payable (AP), including setting up supplier accounts, processing company expenses and vendor payments, and reconciling the same on QBO.
  • Responsible for preparation of Bi-monthly VAT return on QBO and liaise with external accountants regarding the bi-monthly VAT return submission, ensuring all necessary information is provided for timely submission.
  • Assist Sales Support with customer account setup and relevant credit checks.
  • Reconcile ledgers and manage monthly account reconciliation tasks across all systems.
  • Ensure all relevant financial documents and records are maintained and filed appropriately.
  • Assist in the preparation of management accounts and financial reports using QBO, supporting budgeting, forecasting, and strategic decision-making.
  • Assist with year-end financial close by collaborating with the external accounting firm.
  • Submit the Employer's Remuneration Return (ERR) via the ROS (Revenue Online Service) website, ensuring compliance with Irish tax requirements.
  • Provide assistance with monthly payroll preparation, assisting with time-sheet management, and execute payroll payments.
Administrative and Office Support
  • Provide administrative support to the team, managing office operations, supplies, and petty cash.
  • Handle inbound and outbound communications, including customer calls and emails.
  • Assist with day-to-day office functions, ensuring smooth operations within the office environment.
  • Collaborate with other teams to support ad hoc tasks and projects, for example grant submissions and trade shows.
  • Work closely with senior management to improve internal processes and workflows.
Skills & Experience
  • Proven experience in accounting or bookkeeping, ideally with QuickBooks Online or similar accounting software (required).
  • Solid understanding of both Accounts Payable and Accounts Receivable processes (required).
  • Strong understanding of financial regulations and accounting standards (required).
  • Experience liaising with external accountants, particularly with regard to VAT returns (required).
  • Familiarity with submitting Employer's Remuneration Return (ERR) via the ROS website (desirable).
  • Experience assisting in the preparation of management accounts and financial reports (desirable).
  • Accounting technician qualification, e.g. ATI or AAT (desirable).
  • Experience with Google-suite and ZOHO software suite (desirable).
  • Strong organisational and time management skills.
  • Ability to adhere to external and internal deadlines.
  • Attention to detail and high levels of accuracy.
  • Ability to communicate effectively with internal teams and external contacts.
  • A proactive, problem-solving attitude with the ability to work independently.
  • Some experience with office administration and HR functions is also a plus.
  • Already have the established right to work within the EU is essential.
Summary
  • Full Time - Permanent Position
  • Normal working hours - Monday to Friday
  • Office based role with option to facilitate a hybrid working model after a suitable probation period.
  • Salary range - €40,000 to €45,000, depending upon the candidate's previous experience.
