An Office Administrator is required by a Multinational Telecommunications company with offices based in Co. Wicklow. Reporting to the Chief Operations Officer, COO, the successful candidate will be actively involved in overseeing the smooth and efficient running of general business operations.

This role will be offered on a permanent, full-time basis.

  • 39K Per Annum
  • 23 days of annual leave

Duties may include, but will not be limited to:

  • Ensuring the operation runs smoothly to support all other departments to meet customer expectations and maintain satisfaction.
  • Ensure there are sufficient supplies of all catering and office amenities.
  • Providing high-level client services and maintaining positive relationships with all customers along with internal and external stakeholders.
  • Writing up, sending, and receiving signed client service contracts. Keeping a record of renewals and providing the COO with a monthly report on renewals.
  • Checking the post and providing a daily status on all deliveries.
  • Tracking inventory, both new and repairs, on site, with manufacturers and the customers.
  • Adding monthly stock take to Xero and pulling monthly reports.
  • Tracking all sims and producing monthly inventory reports.
  • Following up with other departments and with customers on training dates, scheduling training, and ensuring all presentations are prepared for customer meetings.
  • Preparing a customer quote on Zero if required.
  • Supporting the COO to maintain all SOPs and up-to-date versions of documents as required.
  • If required, being able to drive to customer sites with other team members.
  • Ensuring compliance with safety and regulatory standards.
  • Participating in meetings on behalf of or alongside the COO, recording actions, and ensuring follow-ups and actions are completed in a timely manner.
  • Partnering closely with the Executive PA to schedule events, meetings, and conferences, ensuring all necessary materials are available and prepared for any overseas trips that the executive team will take.

Requirements:

  • Advanced PC skills including Word, Excel, and PowerPoint with a high degree of accuracy.
  • Be flexible on time as and when required to meet important deadlines.
  • Prior experience within a corporate environment providing operational support.
  • A high degree of personal initiative and a sense of urgency.
  • Excellent attention to detail.
  • Proactively look for and take on tasks and provide regular feedback on status.
  • A reliable and flexible approach to work.
  • Working with a team across different time zones and planning work in advance with these time zones in mind.
  • High level of discretion and confidentiality.
  • The successful postholder must have a clean driving license with access to their own vehicle.
