Overview

I am seeking a Buyer for a client in Shannon. This is a fantastic opportunity for suitable candidates.

Primary Duties and Responsibilities
  • Responsible for ensuring materials are available to meet production requirements.
  • Execute the Materials Requirement Plan (MRP) by ensuring efficient and effective procurement and inventory practices; optimize the balance between quality, service, reliability and cost.
  • Prepare and raise Purchase Orders with 3rd party vendors and intercompany as required.
  • Maintenance of Purchase Orders on ERP system.
  • Understanding 9-Block forecasting methodology desirable but not essential.
  • Respond to vendor inquiries in a timely manner.
  • Update all pricing in the supplier catalogue in a timely and accurate manner.
  • Contact suppliers for expediting, communicate quality issues, past due shipments, and stock-outs.
  • Build, maintain and manage supplier relationships.
  • Ensure compliance with company guidelines, purchasing policies and procedures.
  • Track in-transit shipments using carrier websites.
  • Review vendor acknowledgments, prices, lead times against POs and address discrepancies.
  • Review sales order acknowledgments daily and schedule orders; note any specific requirements.
  • Communicate parts delays to Customer Service and Operations and update customer sales order dates with new promised ship dates.
  • Respond to inquiries from Customer Service and Engineering regarding POs, deliveries or quotation requests (lead times, improvements, pricing).
  • Focus on continuous improvements (CI) of the supported process (e.g., MRP automation, MS Excel Macros).
  • Maintain accurate documentation for audits and regulatory requirements.
  • Work closely with Quality Assurance to manage supplier qualification processes.
  • Machine/subcontract work order generation for part modifications.
  • Comply with Health and Safety policies.
  • Provide cover for department members and assist with cycle count activities; participate in annual physical inventory.
Education and/or Experience Requirements
  • CIPS/advanced degree or equivalent
  • Customer service or sales experience in a technical area
  • Experience in procurement activities complying with medical device and pharmaceutical regulatory requirements, supplier document verifications, product certifications and ISO 13485 adherence
  • 2+ years in a similar end-to-end Supply Chain/Purchasing role in a high-volume/fast-paced environment
  • Proficiencies in Microsoft Excel
  • Strong knowledge of ERP systems (SAP/Oracle, JD Edwards preferred)
  • Power BI or similar data analytics tool knowledge desirable but not essential

Key Result AreasOutsourced Contract Management
  • Lead day-to-day management of outsourced facilities service providers (e.g. cleaning, maintenance, waste management, grounds maintenance)
  • Ensure service level agreements (SLAs) and KPIs are met or exceeded
  • Conduct regular performance reviews and audits of suppliers
Estate Management
  • Maintain oversight of buildings and grounds across the estate, ensuring they are fit for purpose, safe, and compliant
  • Plan and coordinate repairs, refurbishments, and minor capital works
Compliance and Health and Safety
  • Ensure all sites comply with relevant health and safety, fire safety, and environmental regulations
  • Maintain records of statutory inspections and certifications (e.g. gas safety, electrical testing, fire risk assessments)
Budget and Reporting
  • Manage facilities management budget, ensuring cost-effective service delivery
  • Prepare reports for senior management on performance, risks, compliance and improvement initiatives
Strategic Planning
  • Contribute to long-term estates strategy, advising on asset lifecycle planning, sustainability, and regulatory trends
  • Identify opportunities for service improvement and innovation
Qualifications and Experience
  • Third level qualification in Facilities Management/Engineering/Health and Safety or Building Services
  • Minimum 3 years post-graduate experience in Fire, Health and Safety
  • Proven experience in a facilities management role with responsibility for multiple sites
  • Experience managing outsourced or contracted FM services
  • Strong understanding of compliance in a healthcare or regulated environment (e.g. CQC, HSE)
  • IOSH or NEBOSH certification
  • Knowledge of PPM (planned preventative maintenance) and CAFM systems
  • Experience in healthcare, nursing, or residential care environments
  • Recognised FM qualification (e.g. IWFM Level 4+)
  • Project management experience
