Job Purpose: This role encompasses both personal and business responsibilities, requiring a versatile and resourceful professional who can seamlessly manage a wide range of tasks with efficiency and discretion. Key Responsibilities & Duties: PA to MD, part time: Calendar Management: Co-ordinate and manage the MDs work schedule, including appointments, meetings, and events. Meeting Coordination: Schedule, organise, and prepare materials for business meetings. Attend meetings as necessary, take notes, and ensure follow-up actions are completed. Document Preparation: Draft, edit, and proofread documents, presentations, and proposals for the MD when required Ensure timely reminders and preparation of materials for engagements. Screen calls and manage incoming letters. Management of various inboxes Assisting in the planning and preparation of presentations and documentation. Preparing memos and letters. Management and prioritizing of daily/weekly to do lists Preparing of internal and external meeting agendas and information packs Travel Arrangements: Arrange domestic and international travel, including flights, accommodations, and transportation for MD, family, colleagues, and employees when required. Maintain confidentiality and handle sensitive information with discretion. Conduct research and compile information as required Supporting and working with the wider team, such as the Operations Director when required Get quotes from suppliers and manage these contracts Assistance with company fleet purchasing. Manage new fleet preparation and maintenance Administration works to include, investment and personal Support with personal/family ad hoc duties Partial support/admin for Ops Director, including Volvos Aftersales Bonus Scheme (Service Excellence) & Qualitative Requirements (QRs) Assistance with occasional exhibitions & events (Irish Commercials & Partech) Assist in various business projects, ensuring deadlines are met and objectives are achieved Handle various personal errands and tasks as requested by the MD. Maintain a proactive approach to anticipating the MDs personal needs Ad hoc duties as they arise Essential Skills: Advanced IT skills (Microsoft Word, Excel, and PowerPoint Experience of diary management including arranging meetings, ensuring all appropriate documentation is available for those meetings and arranging day to day, travel, and accommodation. Able to write clear and accurate correspondence, minutes and papers appropriately tailored to the audience. Strong analytical skills. Able to evaluate and interpret information to form judgments and make recommendations for action. Person Profile: Minimum of 2 years' experience working as a Personal Assistant Ability to communicate at all levels. Very strong organisational skills. Proactive in task management and use of initiative Able to work unsupervised on own initiative with the ability to prioritise, multi-task and deliver competing tasks under tight deadlines. Ability to maintain confidentiality and exercise discretion Flexibility to adapt to changing priorities and work outside regular hours when needed Full driving licence Skills: Microsoft Suite Confidentiality Flexibility organized and detail focused Benefits: Competitive salary pension Paid Holidays
