Responsibilities

General administrative duties

1. Prep for Tier meeting (Overview of safety moments, Holiday tracker, dashboards etc.)
2. Update and maintain org charts for all CQV partners
3. Maintain email circulation groups
4. Coordinated site visitors appointments vendors etc. to site
5. Collating information for Newsletters
6. Prepare storyboards
7. Manage holiday tracker
8. Ensure office supplies are available as required

Supporting Resources / New Starters

1. Organise interview and assist candidates while on site
2. Organise safety induction and onboarding for all members of the Commissioning, Validation & Qualification (CQV) team
3. Set up printer access and CAR pass
4. Organise and Manage training curriculum
5. Assist with arranging hotel accommodation for team members relocating to Limerick for execution phase of the project
6. Support new starts with IT issues

Safety duties

1. Document attendance records at safety toolbox talks etc.
2. Track Safepass and ensure all members have a valid safepass
3. Ensure everyone working in the CQV team read & understand and sign off on Health & Safety plan.
4. Track hours expended by team on site and submit weekly reports
5. Share all safety comms with CQV teams

Doc Control Duties

1. Control of FAT (Factory Acceptance Test) documentation
2. Project filing, scanning etc.
3. Support vendors where required for scanning and filing of documentation

Qualifications

What you need in order to apply for the role:

1. A minimum of 3 years in a professional office environment with a background in administration.
2. Excellent communication and interpersonal skills.
3. Friendly, positive and flexible attitude to work.
4. Excellent ability to work on own initiative.
5. Strong multi-tasking and prioritisation skills.
6. Excellent computer skills (Word/Excel/PowerPoint/Visio).
7. Knowledge of SAP would be an advantage.
