Do you want to shape and contribute to the future of healthcare? Siemens Healthineers are looking for an experienced Bid and Quotes Executive – Ireland to join our team.

The primary focus is to facilitate the efficient preparation, management, submission and administration of bid and quote responses, HSE Supply Chain quotes and any private organisation requests, as well as post contract award administration assistance.

The role will also involve the receipt and processing of Purchase Orders and General Sales/Admin Support for the Irish organisation.

Main Tasks and Responsibilities

1. Prepare, collate, dispatch and submit all bid documents, including pre qualification and post tender clarification documents as well as Equipment Quotes within the required timeframe and quality parameters.
2. Manage Etenders/OJEU process to ensure all adverts are received, acknowledged, submitted and disseminated to the Sales force within the required timeframe and quality parameters.
3. Management and Administration of the Bid Portal according to the Bid & Quote Process, to include the logging of projects and all associated documents up to and including any post contract award communications.
4. Perform Limits of Authority Administration duties for all relevant bid opportunities, as required.
5. Receipt, Distribution and processing of Customer Purchase Orders.
6. Manage customer (internal and external) enquiries and correspondence, by phone, internet or e-mail in a timely manner.
7. Work as an integral part of the bids team and function accordingly. Provide cover for both GB&I colleagues in time of absence and workload excess.
8. Administration of Contracts Archive tool including the uploading and tracking of completed Contracts and the production of reports, as required.
9. Support Sales team through use of CRM tools to include SHAREVILLE and CPQ, as required.
10. General Sales/Admin Support for the Irish Organisation – to include admin of customer conferences & events, ordering of promotional material and administration of ELeave tool.
11. Attend and assist at internal and external conferences/workshops/meeting, as required.
12. Ensure work is carried out in line with Siemens Healthcare Quality procedures. Maintain standard operating procedures and creating new SOP's as required.
13. Complying with work instructions, quality policy, and codes of conduct and health and safety policies at all times.

Skills and Experience

1. At least 3 years working experience with tenders, bids, and quotes.
2. Excellent communication skills (verbal and written) with the ability to deal with customers and staff at all levels and maintain confidentiality at all times.
3. Excellent organisational skills with the ability to prioritise key activities.
4. Excellent accuracy and attention to detail with ability to meet tight deadlines.
5. Ability to work under pressure and effectively plan and prioritise work using own initiative.
6. Ability to work both independently and collaboratively. Ability to work as part of a team and establish good working relationships with all colleagues within Healthineers in addition to different groups within the customer organisation. Be able to follow and uphold the Siemens Healthineers values and principles.
7. Customer focus orientation. Ability to pro-actively deal with customer queries.
8. Extensive Microsoft Office experience, excellent computer skills including experience with a CRM system, and use of the internet.
