Job Purpose
Responsible for the Operational Activities related to Demand Planning cycles using Purchase orders and Sales forecasts from Distributors of assigned territory. Support & Challenge Area Managers in Forecasting/Budgeting/3 Year Plan activities.
Key Responsibilities
Demand Planning & Order Management:
- Requesting Purchase orders (POs) from assigned Distributors within lead time & in a timely manner. Checking all mandatory information (per SOP and Licence & Distribution Agreement or latest Amendment) is correct and controlling it against the Customer Account Master Data liaising closely with distributor to clarify any discrepancies and then seeking signed approval from Area Manager before entering on SAP.
- Monitoring open POs on monthly Shipping list by maintaining & preparing relevant comments and providing status updates for their designated Area. Escalating potential problems early in the month (production issues, Goods in transit risks etc). Finally Releasing PO to Supply Chain Department for shipping.
- Creating and Maintaining Accurate tables in Demand Planning tool. Verifying Data such as Sold-to Party Codes & Names, Product descriptions & Material Codes, In-Market Sales updates, latest accurate Pricing & Purchasing data for Actual and Forecasting Activities.
- Analysis to drive insights based on historical data and trends including monitoring months of stock at distributor level through Demand planning tool, escalating potential problems, and proposing resolutions to Manager and/or Area Manager.
- Launch Activities: Co-operates and Co-ordinates with internal/corporate departments to ensure adequate planning of launches (Production, Artwork and Regulatory). Budget/Forecast Exercises: Updates Demand Planning tool with required volume and pricing Assumptions of Area Managers. Making recommendations and challenging Area Managers based on analysis of the distributors ordering patterns/forecasts and In-Market Sales forecasts.
- Produce long-term rolling Demand plan to nominated Stakeholders every month with appropriate level of detail and timing.
In-Market Sales Reporting:
- Collects In-Market Sales data from distributors (quantity and value) & inputs in IBP tool.
- Analysis of In-Market Sales reports in IBP tool (impact on both stock and pricing) escalating any potential issues to Area Manager/Manager.
Agreements:
- Gain full understanding of relevant contractual documents for the assigned distributors and correctly execute the commercial terms (including Minimum Order Quantity (MOQ), Production lead times, Minimum shelf life, calculation of discounts using Net receipts or other certain criteria, In-Market sales reporting/trends). Monitor launch dates, down-payment, royalties, sampling, pricing, minimum sales, etc. and act accordingly.
- Suggest improvement of problematic contractual terms.
- Collect and monitor the full price structure from distributors for all commercialised products on a regular basis.
- Monitor Invoicing Prices calculation factors which originate from the market (i.e., Ex-Factory Prices (or their contractual equivalent), trade discounts % and government discounts %, FX rates). Calculate invoicing and adjusted prices in accordance with both market and contractual information.
- Calculate forecasted supply prices based on information from distributors, Area Managers, and contractual terms.
Required Education
3rd Level Degree in a relevant discipline
Required Skills and Experience
- Knowledge of Demand Planning/Forecasting & Supply Chain
- Forecasting and planning experience
- Project management certification is an advantage.
- Systems understanding, e.g. ERP integrated systems for Demand Planning (IBP Excel add-on or equivalent CRM tool, an advantage)
- Understanding and knowledge of SAP is essential
- Proficient with using Microsoft Office software, in particular Excel and PowerPoint.
