Overview of role:
UPMC Ireland is currently recruiting an IT Project & Process Coordinator to join our expanding team. The successful candidate will be responsible for ensuring effective coordination, documentation, and communication across various IT initiatives. This position is ideal for a highly organised individual with a strong attention to detail, excellent communication skills, and the ability to work across time zones (primarily Irish and Central European US). Please note: This is strictly an administrative role with no direct project management responsibilities.
Primary Duties and Responsibilities:
- Support the IT department in its delivery of projects.
- Coordinate resource availability and logistics to support the execution of IT projects.
- Assist with the management of purchase orders and invoices.
- Organise and maintain document repositories ensuring up-to-date version control.
- Support the onboarding process for project team members by ensuring access to relevant systems and tools.
- Maintain and administer the Portfolio Management System and ensure data accuracy.
- Liaise with internal departments including procurement, finance, and HR as required.
- Support the business in compiling submissions for vendor security reviews when onboarding new systems, equipment or applications.
- Coordinate the vendor security review board.
- Monitor vendor security reviews from initiation to completion.
Qualifications & Experience:
- 1–3 years' experience in an administrative, coordination, or project support role, preferably in a clinical, technical or IT environment.
- Working knowledge of IT concepts and terminology.
- Proficient in Microsoft Office applications and project tools such as MS Project or Smartsheet.
- Excellent interpersonal, verbal, and written communication skills.
- Strong organisational and multitasking capabilities, with high attention to detail.
- Demonstrated flexibility to manage changing priorities.
- Experience in clinical setting is advantageous.
- Bachelor's degree in Information Technology, Business Administration, or a related discipline is advantageous.
- A valid driving licence is required.
- Must be eligible to work in Ireland without sponsorship.
Working Pattern: 39 hours per week during normal working hours.
