About the post: We are looking for a highly motivated individual for the role of Senior Admissions Coordinator in the Admissions and Student Recruitment Department. The successful candidate will report directly to the Director of Admissions or nominee and will be the first point of contact for prospective students, parents, school counsellors and other stakeholders who have undergraduate admissions queries. This is a customer facing role and will require a high level of customer engagement and satisfaction and strong attention to detail at all times. The post-holder will manage undergraduate admissions related telephone, email and similar correspondence as well as call-in visits. This will require a commitment to developing a strong familiarity with all aspects of the admissions process for RCSI's undergraduate degree programmes and be in a position to respond to queries efficiently and effectively. Job Responsibilities Specifically, the duties of the post are: Supports the Director of Admissions in the efficient day to day running of all aspects of the Admissions Office Provides professional, confidential and efficient administrative support services to the Director of Admissions Acts as recording secretary, as and when required, for the Admissions department and preparation of agendas, minute taking and circulation of relevant information in a clear and concise manner Works closely with other members of the admissions office, providing support and assistance during busy periods Maintains well organised e-filing systems, monitors information regularly and updates accordingly, keeps track of admissions query patterns and other data and makes recommendations to admissions and student recruitment colleagues arising from this analysis Responsible for ensuring that the needs of prospective students, parents and other stakeholders are met, in particular with regards to the provision of admissions information and dealing with related queries as they arise Act as a first point of contact for admissions information, advice and direction for the above mentioned stakeholders and work closely with members of the admissions team including the Director of Admissions and Academic Director of Admissions, to ensure a smooth flow of communication at all times Responsible for administering the department's main admissions email accounts and telephone line Arranges travel and similar arrangements for the Director of Admissions and admissions panels Scheduling and calendar management for the Director of Admissions Preparation of papers and documentation for the Director of Admissions, requiring the use of MS Office applications in particular MS Word, Excel, Powerpoint, Web and Email Supports the Director of Admissions and Head of Student Recruitment with the preparation of presentations and reports, as and when required Financial administration of the department's activities including the use of Agresso to generate POs for the office, process claims and invoices. Tracing income and expenditure and providing support to the Head of Student Recruitment in reporting of same. Qualifications Applicants should have a relevant third level qualification in administration, business or similar and appropriate experience in a key administrative role Knowledge & Experience - (Essential): The successful candidate: Has significant experience in a busy administrative function, with a demonstrated ability to work independently and as part of a team Is highly organised Has excellent written, communication and interpersonal skills Has a high level of proficiency and experience in the use of Microsoft Office applications Has an ability to work with Microsoft Excel and databases to extract, manipulate and analyse recruitment data whilst ensuring the security and integrity of data related to prospective students Has strong customer service skills. Establishes and encourages a customer-centric service and monitors progress of customer service objectives towards successful implementation. Has a proven ability to collaborate and build excellent working relationships with internal and external stakeholders including prospective students. Welcoming, cooperative and approachable in manner. Discreet and knows when information is of a confidential nature and acts accordingly. Has a proven capacity to make sound and well informed decisions, understanding their impact and implications Continually uses own initiative and makes recommendations to enhance operations of the department and the overall student/stakeholder experience. Identifies and develops strategies to assist the department in achieving its goals. Continuously strives to achieve high standards in the completion of tasks. Takes pride in quality of work, high level of accuracy and attention to detail. Has excellent time management skills, ability to plan and prioritise work and meet deadlines. Can operate effectively as part of a team, shares work and information. Is cordial, willing to help others and patient. Has the ability to learn quickly, retain information and to use such information effectively. Ability to think on own feet, to act decisively and prudently. Can work flexibly within a busy work environment, can shift focus when required and proactively respond to change. Has strong drive and self-direction. The ideal candidate should have an interest in this type of work and be committed to the future development of the Admissions function.
