Overview
We are recruiting for an independent financial planning firm dedicated to providing personalized financial advice and planning services to our clients. The firm is looking for a proactive and detail-oriented Client Services Executive to join the team and support the delivery of their comprehensive financial planning services. This role will drive the daily operations of the firm, assisting financial planners with client documentation, managing client records, handling administrative tasks, and supporting project work with colleagues. Key traits include excellent organisational skills, a keen eye for detail, energy, drive, client-focus, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities
Organisation: Provide report-writing and administrative support to Financial Planners/Office Manager; prepare and process client documentation and correspondence; liaise with Pension and Investment Companies & Platforms regarding the setup of new pensions and investments (non-commission schemes and funds); manage and maintain client e-files; handle incoming calls and emails and direct inquiries; respond to internal emails/notices promptly.
Client Relationship Management: Ensure clients receive a high level of service, have their needs met promptly and professionally, and receive proactive assistance; assist in preparing client reports, financial summaries and follow-up for client meetings and ongoing service responses.
Compliance and Record-Keeping: Maintain client files in compliance with regulatory standards; assist in preparing documentation for regulatory compliance and audits; maintain knowledge of financial products, services, and regulatory requirements relevant to the firm.
Data Management and CRM: Input and maintain client data in the firm/'s CRM system; perform regular data audits and upkeep of client folders; update CRM with latest client information and interactions.
Pipeline Management and Liaison: Liaise with the Planning Manager and CEO on pipelines and prospective client needs; prepare, submit, and track new client applications and follow up on outstanding documents; coordinate with the team to ensure excellent servicing of existing clients.
Office Coordination and Event Management: Assist with general virtual office duties, including managing office supplies, filing, and organizing; schedule internal meetings and ensure logistical arrangements; coordinate with external service providers (e.g., IT support and office suppliers).
Key Skills and Qualifications
Education: Leaving Certificate or equivalent; further qualifications in administration, business, finance, or related field are advantageous; QFA desired .
Experience: At least 2 years in an administrative role, preferably within a financial planning, wealth management, or financial services environment.
