We currently have 2 vacancies for a Travel Associate on a specified purpose contract for 15 months approximately and 9 months approximately in the Financial Control Division. This role is aligned with the Bank Officer grade and the BO salary scale, between €32,525 and €49,465 applies. Please click here for further information on our salary scales.
The purpose of the role is to provide comprehensive support to all staff within the organisation in the provision of and advice relating to the arrangement of all business travel, expenses, credit cards and other associated services managed by the Travel Desk in conjunction with bank policy that maximises the traveller’s work-time while considering cost and employee safety. The role holder will contribute to the effective, cost-appropriate and timely delivery of this work ensuring stakeholders receive a positive experience.
Responsibilities:
- Provide a business travel function to Bank employees to ensure that business trips are booked and organised in a timely fashion and give consideration to staff safety while at the same time ensuring the Travel policy is adhered to.
- Review and process claims in relation to both Travel and non-travel expenses to ensure accurate payments are made to staff in a timely manner and in line with policy requirements.
- Support other services managed by the Travel Desk e.g. secondments, guest programmes, system support, non-travel reimbursements etc. Manage the system maintenance on expense@work system to contribute to ensuring that specified risks are correctly managed, that the correct users have access and that the data maintained e.g. mileage rates, subsistence rates etc. is accurate and will result in correct payments to staff.
- Participate in annual audit requests, walk-throughs, queries and solutions to findings so the necessary support and assurance is provided.
- Initiate procedure reviews by continually reviewing and critically analysing processes and policies to ensure that they reflect current practice, are fit for purpose at all times and reflect any associated risks for the organisation which need to be addressed.
- Ensure compliance from all staff with policies under the remit of the team e.g. Business Travel and Expense policy, Team Engagement, Corporate Credit cards etc. to ensure value for money and employee safety.
- Undertake project and other ad-hoc research pieces of work to support team lead in relation to wider initiatives or piece of work being undertaken.
Requirements:
- Leaving Cert or equivalent professional experience, additional industry third level qualification an advantage.
- Significant relevant industry experience with a travel management company (TMC) or other industry service provider required.
- Experience working in a reservations role handling a diverse range of corporate clients, including those at c-suite level, in addition to experience working under own initiative and also part of a busy, dynamic team with a heavy and diverse workload.
- Strong skills and experience in MS Office suite of applications.
- Knowledge with a variety of travel and expense systems, profile management systems and Online Booking Tools (OBTs) e.g. Concur, Roomex, Hotels.com, Umbrella, GTP, Global Distribution Systems (GDS’s) in general etc.
- Familiarity with corporate travel industry e.g. TMC’s, airlines/hotel/car rental contracted rates etc.
- Good interpersonal skills (confidentiality, judgement, integrity).
- Good internal and external stakeholder management skills to enable the development and maintenance of positive relationships.
- Organised with a track record of delivering on work to meet deadlines.
- Good verbal and written communication skills, in particular the ability to engage with staff at all levels including senior management.
- Good attention to detail and ability to work on own initiative but also as part of a busy team, seeking guidance where necessary.
- Good problem solving and organisational skills. Enthusiastic with a willingness to learn.
