Job Description:

As an Access to Care Advisor, you will play a vital role in supporting the smooth day-to-day running of the ward area at UPMC Aut Even Hospital. Your administrative expertise will be essential in providing excellent support to nursing and medical staff, ensuring that patients receive high-quality care.


Key Responsibilities:
  • Theatre Rota Management:
    • Set up theatre sessions for consultants for the year ahead onto the theatre rota.
    • Maintain updates to the theatre rota received from theatre managers, consultants, and consultant secretaries.
    • Ensure all theatre sessions are set up on the patient management system.
  • Weekly Hospital On Call Rota:
    • Liaise with relevant departments to obtain on-call rota information for the current week.
    • Email relevant departments and ensure updates and changes are made and re-circulated by email.
  • Communication and Administration:
    • Liaise weekly with anaesthetic providers regarding theatre rota and furnish copies of theatre lists for the following week.
    • Manage theatre staff time sheets for payroll twice monthly.
    • Monitor and order stationery for the theatre department.
  • Daily Operations:
    • Process charts for local anaesthetic patients from the day surgery unit daily.
    • Perform administration quality checks.
    • Post completed discharge summaries to GPs.

Requirements:
  • Qualifications and Experience:
    • Have excellent administrative and organisational skills.
    • Have excellent interpersonal skills and the ability to communicate effectively.
    • Knowledge of general office procedures is essential.
    • A minimum of two years' relevant work experience.
  • Personal Qualities:
    • Ability to work in a fast-paced environment.
    • Strong problem-solving skills.
    • Flexibility and willingness to learn.
