Job Overview

We are seeking a highly skilled and motivated Corporate Affairs Support Professional to join our team at TN Ireland.

About the Role

The successful candidate will provide administrative support to our Corporate Affairs Unit, ensuring the smooth operation of our organisation.

  • Log, collate, scan, and process inbound/outbound post on a daily basis;
  • Organise, arrange, and coordinate meetings and events where necessary;
  • Provide administrative support to the Board Secretariat on board and committee meetings where required;
  • Support the Green Team secretariat and the Safety Committee secretariat;
  • Maintain asset checks on the Asset Register;
  • Monitor stock and place orders for the office, e.g., stationery items, catering, kitchen, and ad hoc requests;
  • Assist in procurement administration as directed by the Corporate Affairs Executive;
  • Accurately file all Corporate Affairs documents, including scanning, photocopying, and filing on eDocs;
  • General office support, e.g., taking phone calls, meeting and greeting visitors, filing, photocopying, and scanning;
  • Act as a lead point of contact for initial ICT support queries within the organisation;
  • Provide cover to the PA of the Chief Executive, where necessary, including managing confidential correspondence with the highest discretion;
  • Act as key liaison with the Building Manager and contractors, including cleaning, catering, and security services;
  • Assist in the onboarding process for new hires;
  • Provide administrative support to the HR function;
  • Address employee queries regarding office management issues (e.g., stationery, hardware, and travel arrangements);
  • Act as administrative support to management and staff;
  • Manage office equipment;
  • Liaise with staff, suppliers, and clients;
  • Use information technology on a daily basis, e.g., Word, spreadsheets, databases, email, and internet; flexibility to be trained on software where deemed appropriate, e.g., Board Portal software;
  • Maintain training and attendance logs as required and book where necessary;
  • Support management in the preparation for meetings, taking minutes while attending meetings as required;
  • Contribute to the development of policies and procedures to increase efficiency and effectiveness;
Key Requirements

To be successful in this role, you will require:

  • A minimum of one year's experience in a public-facing customer service role;
  • A minimum of one year's experience in administration/processing in an office environment;
  • Experience working in the public or civil service;
  • An ability to deliver quality communications for customers and stakeholders (both internal and external) in everyday work through high standards and efficient practices;
  • Strong communication skills, including written communication skills, with an ability to present written material in a clear, concise, comprehensive, and convincing manner;
  • Excellent interpersonal skills, including an ability to liaise with colleagues throughout the organisation;
  • An ability to adhere to, and comply with processes and procedures;
  • A careful and methodical manner, displaying accuracy at all times, including when conducting routine/repetitive work;
