This role is part of our Dublin 12 location.

Job Description

  • Provide administrative support to the department, assisting with documentation, record-keeping, coordination of purchasing-related activities, and ensuring compliance with purchasing management systems.
  • Work closely with the SAE Purchasing Manager, Internal procurement Team/department, Purchasing and Quality Team, Warehouse team, and AP to ensure goods are received and the appropriate action is taken, invoices are resolved, and necessary payments have been made.
  • Perform administrative tasks in a timely manner with attention to detail being critical.
  • Partner closely with people you support as well as other departments to align requirements with individual and organisational priorities and communicate information.
  • Track work and ensure efficient workflow.
  • Task management of ad hoc requests (assistance with POs, resolving urgent issues, helping a buyer).
  • Development of POs and Receipts in the ERP system (SAGE).
  • Submitting of Enquiries to Vendors.
  • Final receipting & invoicing support to finance and stores.
  • Chase Open POs and ensure timely delivery of items to the appropriate end user(s).
  • Update Data within the ERP system (SAGE).
  • Support Part number creation within the ERP system (SAGE) and keep records of cost, supplier and part number outside of SAGE.
  • Update the BOM with the necessary Sage #, HS Codes and PO details.
  • Providing support in the management of the Silent-Aire Europe Sage System.
  • Attend meetings with the team to ensure efficient running of the department.
