About the Role

We are seeking a highly skilled Bookkeeping Assistant to join our Finance Team on a part-time basis, working 2 days per week from 8:30 am to 4:30 pm.

The successful candidate will be responsible for performing a range of bookkeeping tasks, including reviewing and updating budget sheets and summaries for trips, tours, and retreats. This will involve tracking income and expenditure details and providing regular updates to Trip Coordinators on student income received.

As a Bookkeeping Assistant, you will also be responsible for issuing and allocating purchase orders in line with approved invoices from budget holders, ensuring compliance with the procurement policy by obtaining quotes and verifying third-party requirements.

Duties and Responsibilities

">

The successful candidate will perform the following duties:

  • ">
  • Review and update budget sheets and summaries for trips, tours, and retreats.">
  • Track income and expenditure details.">
  • Provide regular updates to Trip Coordinators on student income received.">
  • Issue and allocate purchase orders in line with approved invoices from budget holders.">
  • Ensure compliance with the procurement policy by obtaining quotes and verifying third-party requirements.">
  • Regularly update and maintain spreadsheets to track taxi and housekeeping costs for the Finance Team.">
  • Assist the Finance Team in preparing and making lodgments.">
  • Support the Finance Team with reconciling receipts and lodgments.">
  • Keep the lodgment spreadsheet up to date.">
  • Assist the Finance Team with receipting income from cash or cheques.">
  • Reconcile trip/tour receipts with payment disbursements or Clever Cards and record any discrepancies.">
  • Provide support to the Finance Team with filing and document management.">
  • Scan invoices and process them for electronic payment.">

Requirements and Qualifications

To be successful in this role, the ideal candidate will have:

  • 1-2 years of previous experience in a similar position.">
  • A strong understanding of accounting principles and procedures.">
  • Excellent numerical skills.">
  • Strong written and verbal communication skills.">
  • Good attention to detail and accuracy.">
  • Organizational skills and flexibility to support multiple projects.">
  • Excellent IT skills, particularly in MS Office applications (Word, PowerPoint, Excel).">
