Job Description

Primary Responsibilities:

  • Facilitate the smooth operation of facilities management across multiple sites, working closely with the Departmental Facilities Officer (DFO).
  • Oversee the administration of the facilities helpdesk, triaging and supporting the resolution of issues that arise.
  • Supervise services provided by contractors, reviewing quality of service and ensuring value for money.
  • Manage supplier relationships and source competitive quotes.
  • Oversight of planned maintenance schedules for all premises.
  • Collaborate with the Services team on business continuity planning (BCPs).
  • Raise awareness and ensure compliance with health and safety regulations.
  • Support the DFO in opening, refurbishing, or relocating Jigsaw hubs.
  • Address internal building maintenance issues within scope of competence and liaise with landlords as necessary.

Health and Safety:

  • Contribute to Jigsaw's H&S Steering Group, undertaking tasks at National Office and service level.
  • Deliver training and conduct assessments in health and safety disciplines.
  • Coordinate risk management, including oversight of service floor walks.

Administration:

  • Liaise with the DFO to direct, coordinate, and plan essential central services at National Office.
  • Oversight of administration paperwork related to facilities management.
  • Work with the Finance team to develop and manage the Facilities annual budget.

Required Skills and Qualifications:

  • A qualification in facilities management or a similar discipline.
  • Three years' experience managing various tasks with experience supporting a team within a facilities management environment.
  • Excellent organizational, analytical, and facilities management skills.
  • A full clean driving license.
  • Computer literacy, including MS Word, Excel, PowerPoint, and Outlook.
  • Excellent communication skills and ability to work with diverse professionals.
  • Possession of passion for young people's mental health and commitment to achieving change in Irish society.
  • Capacity to work independently and as part of a small team.
  • Ability to prioritize workload and maintain a structured service delivery.
  • Willingness to travel for work and occasional evenings/weekends as required.
