
Dynamic Pharmaceutical Service Coordination Specialist

This is a challenging role for an experienced service coordinator who can effectively plan, schedule, and host engineers for onsite maintenance activities in a dynamic pharmaceutical environment.
- Main Objectives:
- Organize and manage scheduled services to ensure successful completion of services, respond to breakdown repair requests, and minimize rescheduling.
- Work closely with customers and internal & third-party vendors to deliver services within satisfactory timelines.
Key Responsibilities:
- Service coordination: Organize service visits in accordance with site schedules, manage associated standards/parts, and IT requests necessary for the successful completion of the service.
- Vendor hosting: Support as the dedicated point of contact for onsite services, manage permits, and support service engineers during service visits.
- Customer Point of Contact: First point of contact for customer queries related to scheduling or operational matters.
- Daily administrative duties such as managing quotations, purchase orders, and reconciling costs.
- Track out-of-scope costs and report regularly to account managers.
- Attend operational calls, customer meetings, and manage high volumes of emails.
- Manage customer assets, ensuring accurate inventory records.
- Monitor performance metrics to ensure maintenance and repair requests are completed within agreed timeframes with minimal disruption to onsite activities.
- Utilize scheduling applications such as SAP CRM System and SmartSheet.
- Able to work collaboratively as part of a team and demonstrate a passion for delivering excellent customer satisfaction.
- Schedule vendor inductions and ensure compliance with customer vendor management requirements.
- Minimize instrument downtime by efficiently managing repair requests.
- Proactively monitor schedule adherence to planned preventative maintenance.
- Manage shipments and track off-site instruments.
- Maintain data accuracy, managing inventory, service metrics, schedule, and costings to a high standard.
- Closure of associated work orders.
This role requires a third-level qualification. A science qualification is advantageous. Problem-solving, multi-tasking, planning, organizational, and time management skills are essential. Excellent communication skills and fluency in English (verbal & written) are also required.
