About the Role

We are seeking a highly organized and detail-oriented Litigation Case Coordinator to join our team.

Key Responsibilities
  • Support a small group of FEs in managing their daily caseload.
  • Prepare correspondence and documents from digital dictation, ensuring accuracy and attention to detail.
  • Manage physical and electronic files, including filing, scanning, photocopying, and archiving, maintaining confidentiality and security at all times.
  • Draft, amend, and format legal documents and pleadings with high precision, adhering to strict deadlines and quality standards.
  • Coordinate briefs for Counsel and booklets for experts and Hearings, ensuring timely completion and presentation.
  • Issue large documents via secure sharing platforms.
  • Occasionally attend Court for Motions and Hearings, providing necessary support and documentation.
  • Liaise with experts, Counsels, and other parties as required, fostering effective communication and collaboration.
  • Arrange payments for experts' and Counsels' fees, ensuring prompt and accurate processing.
  • Issue bills to clients and assist with debt collection, maintaining clear and transparent communication.
  • Open and close electronic and physical files, maintaining up-to-date records and inventory.
  • Arrange meetings/consultations and assist with diary management, ensuring seamless coordination and scheduling.
  • Help with expense claims and booking travel, adhering to company policies and procedures.
  • Record time spent on tasks according to clients' Service Level Agreements (SLAs), providing accurate and reliable data.
  • Maintain and update internal databases, ensuring data integrity and security.
  • Perform ad-hoc file tasks as required, demonstrating flexibility and adaptability.
Requirements
  • High school diploma or equivalent required; post-secondary education in a related field an asset.
  • Minimum 1 year experience in a similar role, preferably in a law firm or legal services environment.
  • Excellent organizational and time management skills, with ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong analytical and problem-solving skills, with ability to think critically and creatively.
  • Proficient in Microsoft Office Suite, particularly Word, Excel, and Outlook.
  • Familiarity with document management systems and secure sharing platforms.
  • Excellent communication and interpersonal skills, with ability to work effectively with diverse stakeholders.
