We are a unique resort with a history spanning hundreds of years, certified as a Great Place to work by our employees. As a Resort Events Coordinator, you will play a vital role in ensuring seamless execution of events across our 550-acre estate.
- Ensure all menus, rooming lists, and event information are entered into the system at least 14 days prior to an event to guarantee timely preparations.
- Conduct thorough Resort Site inspections to identify potential areas for improvement.
- Create profiles for new contacts and companies in Opera, updating existing profiles as needed to maintain accurate records.
- Develop and maintain strong relationships with new and existing clients through regular communication and follow-ups.
- Work closely with the Sales Manager to build new corporate accounts and create Key Account Managers, driving business growth and revenue.
- Issue weekly function sheets and forecasting reports to the resort every Wednesday afternoon to keep stakeholders informed.
- Host weekly Resort Pre-Con meetings with the Events team to discuss ongoing projects and address any concerns.
- Communicate promptly with Resort Operations regarding Site Inspections to ensure smooth operations.
- Send daily and accurate Enquiries, Business Won, and Business Lost reports for all reservations to provide valuable insights.
- Update Enquiries, Business Won, and Business Lost daily, actively chasing business leads to maximize conversion rates.
- Liaise with the Executive Chef regarding seasonal menu requirements and updates to the Sales Drive to enhance the overall guest experience.
- Liaise with Sommeliers regarding wine list updates and Opera maintenance to maintain high standards.
- Compile a comprehensive Catering Calendar of Events to ensure efficient planning and resource allocation.
- Produce weekly reports to account for lost and regretted business, providing actionable feedback on reasons.
- Evaluate potential sales leads and transfer them to relevant Salespersons to optimize sales efforts.
Qualifications:
- A proven track record of successfully converting leads into confirmed bookings within the hospitality industry, preferably in luxury or 5-star hotels.
- Strong negotiation and contract management skills, enabling effective collaboration with clients and vendors.
- Excellent communication and interpersonal skills, fostering strong relationships with colleagues, clients, and partners.
