We are seeking an experienced Document Control Specialist to join our team in Limerick. This is a full-time onsite role that requires the right individual to maintain and manage document control systems, ensure compliance with company policies and industry regulations, and support data collection and reporting.

Key Responsibilities:
  • Maintain and manage document control systems, both electronic and paper-based, to ensure accuracy and accessibility.
  • Ensure all documentation is correctly labelled, version-controlled, and easily retrievable to facilitate efficient searching and retrieval.
  • Monitor and update document registers and databases to guarantee data integrity and system effectiveness.
  • Distribute documents to relevant personnel and stakeholders as per project workflows to maintain effective communication.
  • Assist in the preparation, editing, formatting, and proofreading of documents to ensure quality and consistency.
  • Collaborate with internal teams, contractors, suppliers, and external stakeholders regarding document submissions and revisions to ensure seamless coordination.
  • Archive obsolete documents and maintain audit trails to preserve a record of document history.
  • Conduct periodic document audits to verify data integrity and system effectiveness.
Data Collection & Reporting:
  • Collect, compile, and validate data from site reports, inspections, audits, or field activities to support informed decision-making.
  • Support compliance reporting through accurate record-keeping and data tracking to ensure regulatory compliance.
  • Prepare dashboards or summaries of document and data control status for management review to provide visibility into key performance indicators.
  • Coordinate with teams to ensure timely submission of required data and documentation to meet project deadlines.
Requirements:
  • Proven experience in a similar role (typically 2+ years) with a strong understanding of document control principles and practices.
  • Excellent organizational skills and attention to detail to ensure accuracy and efficiency in document management.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.) to effectively prepare and distribute documents.
  • Good communication skills, both written and verbal, to effectively collaborate with stakeholders and communicate document information.
  • Ability to work under pressure and meet deadlines while maintaining a high level of productivity and quality.
