SUMMARY OF DUTIES: Leading our team of National On-Call Care Co-ordinators to meet the needs of the business Growing the skill base of our team of Care Call Co-ordinators Respond promptly and professionally to client and carer inquiries via phone, email and chat.
Resolve queries efficiently while ensuring high client satisfaction.
Maintain and update client records and schedules.
Maintain all aspects of staff scheduling while adhering to employment law, regulations, and staffing guidelines of all departments within the scheduling office.
Prioritise tasks, manage multiple responsibilities, and meet KPI's.
Provide clear, accurate communication in both written and verbal English.
Collaborate across teams to resolve issues and improve processes.
Participate in meetings, share insights and contribute to a positive team culture.
Stay informed on company policies and industry updates.
Maintain client confidentially and adhere to compliance standards Support projects and perform other duties as needed.
Supporting team with work load during peak times of the week. Weekend work will include a minimum of 1 weekend in 4 and when operationally required.

REQUIREMENTS: Ideally have Supervisory Management - Degree / Diploma Office Administration Strong organisational skills and attention to detail.
Excellent communication and interpersonal skills.
Experience in healthcare or customer service roles (preferred).
Ability to multitask and manage time effectively.
Ability to work independently.
Knowledge of the One Touch scheduling system preferred. EXPERIENCE: Previous: 2-year previous experience in a supervisory capacity, working in an office environment to develop organisational skills and gain an understanding of functional requirements of the organisation.
KEY ACTIVITIES: Staff supervision Staff training Responds to questions and inquiries from employees and managers.
Works collaboratively with managers on scheduling issues.
Office administration Staff training and growth Weekly / monthly reporting Staff Scheduling Managing Team annual leave and absence.
Maintains staff schedules (e.g., master rotation) in accordance with employment law requirements and HR policies/procedures.
Maintains current seniority lists.
Formats and posts staff schedules.
Compile statistical reports for managers.
Inputs/updates employee information in scheduling programs.
Provides occasional guidance to the primary function of others including training.
Collect, verify, enter Client referral information.
Informs payroll office of any pay code and/or staff changes.
Identify errors and make corrections.
Assist employees in connecting to Online App systems.
Performs general office duties (e.g., orders supplies, photocopies, shreds, provides reception/telephone services, processes mail, files).
