Responsible To: Director of Sales & Marketing / Sales & Marketing Manager
Main Purpose of Job: The wedding coordinator will manage the entire sales process, from enquiry to booking and delivery of the event. They will be the main point of contact for couples and must have excellent communication skills, both in person and via phone and email. The Wedding Coordinator must have exceptional attention to detail and be able to prepare operations sheets for each wedding or event, detailing the couple's requests and communicating this effectively to all relevant departments.

MAIN DUTIES- Handle all incoming enquiries pertaining to the Wedding segment with an efficient, professional and friendly client-oriented approach.
- Ensure final details for weddings and events are accurate and communicated effectively to all departments. (Attention to detail and brand standard is imperative).
- Issue Contracts for confirmed wedding bookings and ensure the deposit schedule is executed.
- Ensure function sheets are accurate and distributed efficiently to all relevant departments in the resort.
- Liaise closely with the operations team.
- Assist in preparing bills correctly. Ensure correct billing procedures are followed and communicated directly with the Accounts Department.
- Ensure the accuracy of diary management by maintaining an efficient option date system & following up on daily activities. Work with the Sales Team to maximise weddings on specific wedding months as highlighted.
- Maintain up-to-date and efficient files on all enquiries held on the books and an effective option date system.
- Keep detailed information on all the reasons for lost business whether regretted, tentative or definite and the action taken.
- Ensure all leads are logged.
- Organise and attend all relevant Wedding Fairs and action follow-up accordingly.
- Conduct private show rounds of the Resort to prospective couples.
- Negotiate with clients through the use of creative presentations and event proposals, to achieve both maximum revenue/profit potential and fulfilment of contractual responsibilities while satisfying client needs.
- Provide support to additional departments as necessary including working closely with our operations team who are responsible for the on-the-ground delivery of each event.
- A minimum of 2 years' experience in an events/wedding role (preferred).
- A competent professional salesperson and an excellent communicator.
- Exceptional attention to detail.
- A positive, professional, and friendly approach.
- Focused on providing exceptional customer service.
- Ability to work on own initiative, multitask and work under pressure.
- Must be flexible and accept a demanding work schedule in a busy environment.
- Competent in Microsoft Word, Outlook, and Excel.
- Ability to learn and utilize various computer software programs.
