Dublin, Dublin City, Ireland Riot Games Full time

Riot's Procurement team partners with deal owners and external partners to secure all goods and services needed. We apply policies that help mitigate risk while allowing for maximum value in our deals. From getting large projects approved and negotiating contracts, to tracking orders and payments, we help deal owners navigate the journey.

As a Procurement Operations Professional , you'll report to the Regional Procurement Manager. You'll be responsible for understanding and incorporating the requirements to successfully onboard suppliers into Riot's Procurement Platform, Coupa, as well as the contracting process and workflows for buy-side contracts . You'll work closely with the Business Units, Procurement, Legal team, and suppliers to gather accurate data and ensure all procedures are followed until they reach final execution. Your attention to detail must ensure that all supplier records and fully executed contracts are accurate and properly updated. The ideal candidate for the Procurement Operations Professional position is a talented and ambitious professional with tactful communication and strong organization skills.

Responsibilities:

  • Serve as primary liaison between Riot and suppliers for all supplier onboarding activities, and assist with navigating and resolving issues.
  • Maintain a robust understanding of the requirements associated with implementing and managing a supplier onboarding program and be responsible for driving continuous improvements across all related processes and policies. Track and document all enablement activities required for a proper audit trail.
  • Ensure that all updates to our policy account for the different supplier types used at Riot, and evaluate if/how our organizational structure might be impacted.
  • Enforce the proper controls for maintaining our supplier database, including securing sensitive information, identifying and gathering missing data, and supporting the audits of existing supplier records.
  • Provide supplier training via emails, one-on-one calls, or virtual meetings. Provide suppliers with Coupa product support for the Coupa Supplier Portal.
  • Enforce the standardization of our contracting process for nearly all buy-side vendors. Manage the tracking, monitoring, and signature execution of all buy-side contracts. This would include tagging key terms in contracts, and ensuring all contract metadata is captured in the contract repository.
  • Review all inputs and approvals prior to determining next steps for signature (usually creating DocuSign and package for signers). Meticulously enforce signing authorities and determine which leaders should be signing contracts.
  • Summarize key contract terms and details. Ensure our signers better understand contracts they need to sign by providing executive summaries. Respond to queries from executive admins or contract signers.
  • Monitoring contracts about to expire and notify the respective teams.
  • Respond to requests for process exceptions by investigating and synthesizing appropriate solutions within guidelines, and escalating highly unusual or complex issues/requests to the Procurement Management Team.

Requirements Qualifications

  • At least 3+ years of supplier enablement experience in the Procurement industry, or related procure-to-pay activities.
  • Strong organization and follow through skills; pays close attention to detail; has strong written and verbal communication skills; and has a team-player mentality.
  • Ability to understand, interpret, and articulate procurement policies and control requirements in order to execute good judgment, especially under challenging situations.
  • Self driven individual committed to delivering a high level of accuracy in all job related activities.
  • Ability to provide reporting and adequate visibility to all parties involved.
  • Proven track record in managing high volume data tracking and entry; proven history in working in a fast-paced environment.

Desired Qualifications:

  • Knowledge of procurement systems, ideally Coupa a plus.
  • Prior experience supporting multiple teams.
  • 1+ years previous system or program administration experience strongly preferred, or ability to demonstrate comparable knowledge and skills.
  • Associates degree in business administration preferred.
  • Fluency in a European language would be advantageous
