Job PurposeAt Grá Chocolates, we know that the general operations are the key to a successful business.We are looking for a reliable operations associate to support with the management of the day-to-day business.The operations associate's responsibilities include performing administrative tasks, assisting other company departments as needed, and ensuring smooth daily operations.The Operations Associate plays a crucial role in the efficient and effective operation of our chocolate factory.This position involves a variety of tasks, including packing support, team communication, inventory management, quality control, customer service, and administrative duties.The ideal client will possess a proven track record of executing tasks.They will also have a keen eye for detail and a strong work ethic, ensuring that all aspects of our operations are executed with precision and finesse.Beyond technical expertise, we seek individuals who embody the Grá Chocolates ethos, demonstrating unwavering integrity, honesty, and a deep understanding of our brand vision, values, and goals.These qualities are essential for upholding the brand's reputation and fostering enduring relationships with our customers.If you possess a passion for etting jobs done, and a commitment to excellence, we encourage you to join our team and help us spread the Grá Chocolates magic.Key ResponsibilitiesPacking Support:Assist with the packing of chocolate products according to established procedures and standards.Ensure accurate labeling and packaging of products.Monitor packaging materials and report any shortages or quality issues.Team Communication:Maintain open and effective communication with team members to ensure smooth workflow and collaboration.Participate in team meetings and contribute to discussions on process improvements.Inventory Management:Assist in the management of inventory levels, ensuring adequate stock of raw materials, packaging materials, and finished products.Place orders before stock has run out.Conduct regular inventory checks and reconcile records.Quality Control:Inspect finished products for quality defects and adherence to standards.Report any quality issues to relevant personnel and assist in implementing corrective actions.Customer Service:Respond to customer inquiries and complaints in a timely and professional manner.Assist with order processing and fulfillment.Administrative Duties:Assist with various administrative tasks, such as invoice reconciliation, data entry, and filing.Maintain accurate records and documentation.Financial & Administrative Support:Assist the accounts department by reconciling receipts and invoices.Create invoices for orders as required.Complete other administrative tasks as assigned.Operational Excellence & Brand Representation:Act as a brand ambassador for Grá Chocolates, representing the company professionally to all audiences.Maintain a clean and organised work environment, adhering to all food safety and hygiene regulations.Ensure proper sanitation and maintenance of all equipment and workstations.Polish chocolate moulds, sweep floors, and perform other general cleaning duties.Role model and enforce all health and safety protocols.Qualifications and SkillsLeaving Certificate or equivalent.Experience in a manufacturing or production environment preferred.Strong attention to detail and accuracy.Excellent organisational and time management skills.Ability to work independently and as part of a team.Good communication and interpersonal skills.Proficiency in basic computer skills, including Microsoft Office applications.Experience with using Xero is perferred but not necessary.Proficiency in using accounting software, such as Xero or a similar platform, to manage invoices and reconcile accounts.Physical RequirementsAbility to stand and walk for extended periods.Ability to lift and carry heavy objects.Must be able to work in a fast-paced environment.Key AttributesStrong problem-solving skills.Ability to use discretion in providing direction to others.Ability to work in a fast-paced, team environment.Ability to demonstrate respect and integrity at all levels of the organisation.Ability to develop and maintain effective working relationships.Ability to communicate and execute management directives.Have a passion for our brand and products.Job Types: Full-time, Part-timeApplication question(s):Do you have experience with handling customer inquiries and complaints?Have you experience with using a bookkeeping platform such as Xero?Work Location: In person
